Primary Purpose
As an Executive Assistant, you will play a crucial role in supporting our senior leadership team. Your responsibilities will include managing administrative tasks, maintaining confidentiality, and ensuring smooth office operations for our senior vice presidents.
Duties And Responsibilities
- Provide essential assistance to executives by handling administrative details, streamlining processes, and maintaining office efficiency.
- Perform executive secretarial duties, including handling sensitive information and maintaining confidentiality.
- Screen calls and mail, route inquiries, and bring critical matters to the executive’s attention.
- Compile and summarize information, formulate correspondence, and follow up on requested reports and data.
- Skillfully transcribe important and confidential dictations, ensuring accuracy and confidentiality.
- Arrange and monitor executive appointments, ensuring seamless scheduling.
- Make travel arrangements, prepare necessary forms, and manage expense accounts.
- Assist other Executive Assistants as needed.
- Handle a high volume of work with precision and attention to detail.
- Maintain specialized files and records, ensuring easy access and confidentiality.
- Stay informed about company activities and updates.
- Note that incumbents in this position may be eligible for overtime pay as per non-exempt guidelines.
- Occasionally perform other tasks (up to 5% of duties)
Qualifications
Education
- High School Diploma or GED required.
- College-level courses or equivalent experience in accounting, bookkeeping, and/or statistics preferred.
Experience
- At least 5 years of related experience as an office manager or administrative assistant.
Skills And Abilities
- Intermediate mathematical skills and basic algebra.
- Reside in Southern California or be willing to relocate upon hire.
- Comfortable with a hybrid work environment (3 days in the office, remote work on remaining days).
Licenses and Certifications
- Valid California driver’s license required.
