As the Assistant to the CEO, Nirav Tolia, you will play a crucial role in supporting the CEO and ensuring the smooth operation of their office. This visible and influential role requires a highly organized individual with strong communication skills. You will assist with connecting the CEO with internal stakeholders and the broader organization as well as external partners, ensuring the seamless execution of critical tasks and strategic endeavors. This position requires someone who can handle diverse data points and make decisions with clarity and precision. You must be adaptable, responsive, and able to manage rapid and evolving changes to the CEO's schedule and priorities.

The Impact You’ll Make

The ideal candidate for this role is a highly organized self-starter with an optimistic can-do attitude, excellent communication skills, and a genuine passion for Nextdoor's mission. The environment is dynamic, energetic, and customer-focused! It’s important to note that this role is based in San Francisco, HQ with the expectation that this person will be available to work across time zones to accommodate both PST and CST hours.

Your Responsibilities Will Include

  • Administrative oversight including
    • Calendar Management: Schedule and manage demanding calendars, including internal and external meetings with employees, vendors, and clients. Proactively anticipate scheduling conflicts and ensure the CEO's time is optimized.
    • Travel Coordination: Handle domestic and international travel arrangements for the CEO, establishing detailed itineraries that align with the CEO's goals.
    • Document Preparation: Compile and synthesize reports, letters, and memos using software tools, including Google Productivity Suite. Draft correspondence on behalf of the CEO for internal and external distribution, with direction from the Chief of Staff.
    • Expense Management: Prepare and submit detailed expense reports through Workday, ensuring accuracy and compliance.
    • Meeting Participation: Act as a collaborator in key executive meetings, contributing to discussions and follow-up actions, with the support and guidance of the Chief of Staff.
    • Confidential Information Handling: Manage and maintain sensitive information with a high degree of confidentiality and discretion.
  • Strategic Work including:
    • Research and Briefing Preparation: Collect and prepare briefings and research for customer meetings, press interviews, and meetings with key stakeholders, under the direction of the Chief of Staff.
    • Project Tracking: Track and ensure the completion of important projects and initiatives. Collaborate with cross-functional teams to ensure alignment and timely execution of tasks, under the supervision of the Chief of Staff.
    • Stakeholder Engagement: Interact confidently with senior leadership and external partners, fostering strong relationships and facilitating effective communication.
    • Event Planning and Coordination: Assist in planning and overseeing company events, such as volunteering days, office events, holiday parties, team offsites, and key stakeholder events, such as quarterly Board Meetings, with guidance from the Chief of Staff.
    • Executive Onboarding: Assist with the onboarding and orientation of new executive team members, ensuring a seamless integration into the organization.
    • Ad-hoc Projects: Undertake tasks and projects as assigned by the CEO.
Management Including

  • For the right candidate this role may involve managing a team of executive assistants, ensuring the team is calibrated with a focus on skills and career development. In this capacity you will play a pivotal role in planning for changes to the executive support matrix and act as an advocate for the executive assistant team with the Nextdoor leadership team

What You’ll Bring To The Team

  • 7+ years of experience supporting a senior executive, preferably in a high paced tech environment
  • Bachelor’s Degree or equivalent work experience
  • Strong organizational skills and follow-through on tasks
  • Proficiency in Google Productivity Suite (Gmail, Calendar, Docs, Slides, Sheets); experience with Coda and Workday is a plus
  • Excellent communication skills, with the ability to interact confidently and effectively with internal and external partners
  • Detail-oriented and adaptable to a rapidly changing work environment
  • Strong problem-solving skills and initiative
  • Ability to multitask and manage multiple projects in a fast-paced environment
  • Agility and flexibility in response to changing priorities and needs
  • Proactive, can-do attitude with a focus on continuous improvement

Bonus Points

  • Experience supporting a CEO in a high-growth, dynamic environment
  • Experience managing board meetings and board scheduling
  • Experience supporting an executive with numerous outside board obligations

Compensation, benefits, perks, and recognition programs at Nextdoor come together to create one overall rewards package.

The starting salary for this role is expected to range from $150,000 to $200,000 on an annualized basis, or potentially greater in the event that your 'level' of proficiency exceeds the level expected for the role. Compensation may also vary by geography.

We also expect to award a meaningful equity grant for this role. With equal quarterly vesting, your first vest date would be within the first 3 months of your start date.

Overall, total compensation will vary depending on your relevant skills, experience, and qualifications.
