Front Office Administrator

Job Description

The Front Office Administrative Assistant is responsible for executing all matters relating to reception of visitors, mail distribution, and completion of assigned projects. This position includes administrative goals, working effectively with other employees, and the follow-up required to ensure departments are moving forward, at all times and as directed. Must have a commitment to representing the organization in a positive manner.

Job Description:

The Front Office Administrative Assistant will have the following responsibilities:

  • Safeguards all corporate assets and maintains proper internal controls.
  • Maintain and distribute confidential documents at direction of HR Manager.
  • Receive and distribute mail and packages according to company practices.
  • Greet visitors and staff in a friendly and appropriate manner.
  • Create and distribute communications to employees, vendors and clients as directed.
  • Data entry to include invoice preparation and filing of various documents.
  • Assists with preparing and distributing A/P checks via mail; statement review and processing.
  • Provide support to Project Administrators – preparing and issuing transmittal.
  • Prepare and distribute Preliminary Notices as directed.
  • Assist and coordinate company activities as needed; including birthday announcements and decorating.
  • Provides administrative support to various staff as assigned.
  • Update industry safe database with employees, project, and inspections. Other updates may be required.
  • Maintain office supplies stocked including paper goods and general office supplies and snacks.
  • Other duties as assigned.

Desired Skills & Experience:

  • High School diploma or GED required.
  • 2+ years of clerical experience including front office and administrative experience.
  • Exceptional customer service skills.
  • Strong written and verbal communication skills; effective listening skills.
  • Basic knowledge of Microsoft office (Excel, Word).
  • Detail oriented and able to meet deadlines.
  • Dependable and very organized.
  • Strong interpersonal and presentation skills.
  • Ability to multi-task and succeed in a fast-paced, dynamic environment.
