Title

Genetic Counseling Assistant Bronson Cancer Pavilion

The Genetic Assistant is responsible for the overall administrative functions of the Genetic Counseling team, including patient scheduling, registration, preparation of samples to be sent for genetic testing, triaging phone calls, answering patient questions when appropriate, and abstracting data for registries and reporting.

Job Requirements

  • Associate degree preferred or high school diploma required with applicable work experience in related field required.
  • Previous experience in health care environment highly desirable.
  • Excellent communication and interpersonal skill to interact effectively with management, employees, peers and the general public.
  • Ability to interpret, comprehend and transmit complicated and detailed instructions.
  • Ability to organize, prioritize and work independently as well as schedule and produce work in a timely manner.
  • Broad knowledge of organizational operation and policies, and high level of experience, discretion and technical skills.
  • High degree of integrity to keep confidential all protected and sensitive information.
  • Requires proven expertise in clinic and administration tasks and functions including medical terminology.
  • Proven expertise in medical genetics terms, conditions, tests, pedigrees and genetic databases a plus.
  • Experience with insurance companies and the pre-authorization process.
  • Must have or be able to obtain BLS certification.

Job Duties

  • Communicates with the referring provider's office initially and in follow up.
  • Handles all referrals including the collection of patient's family history forms and other health records.
  • Enters the patient and their family's history and other information into databases.
  • Communicates and responds to the outside genetic labs and insurances company's requests for additional information to support coverage of tests.
  • Develops and/or updates systems to streamline the operational workflow and increase the capacity of the program, participates in team meetings.
  • Maintains multiple databases, systematic monitoring of referrals and test results.
  • Periodic analysis of referral patterns, turnaround times, follow up with referral providers and patients.
  • Collecting appropriate reports on applicable patients to assist with consults, appropriate genetic test selection, future follow up appointments.
  • Utilizing online portals or paper requisitions to place orders for genetic testing
  • Assist with coordination of sample collection for genetic testing
  • Requesting prior authorization for genetic testing when necessary
  • Obtain genetic testing results from external medical groups or genetic testing company online portals
  • Utilize the electronics medical record to document communication with patients and upload genetic testing reports
  • provide information to patients regarding various testing options as directed by the physician or genetic counselor
  • Maintain stock of various genetic testing sample collection kits
  • Track various data regarding testing in HIPPA compliant log
  • Entering data into appropriate software data bases.
  • Sending information/educational materials and letters to referring providers.
  • Coordinating and scheduling educational sessions, consults and follow ups with patients.
  • Assist in collection of consent forms, surveys, etc.
  • Chart prep including pedigrees and risk assessments.
  • Sending out test samples to appropriate labs.

  • Provide administrative support to genetic counselors developing patient and provider education materials
  • Navigate electronic health record to obtain family history and other information as needed
