Job Title HRIS Administrator

Reports To HRIS Manager

The HRIS Administrator plays a crucial role in ensuring the accuracy, integrity, and security of employee data across multiple HR systems. Working closely with the HR team, this position oversees data management and administration tasks, including data entry, system updates, and report generation. With a focus on maintaining data confidentiality and compliance, the HRIS Administrator serves as a key liaison between HR and other departments, ensuring smooth operations and optimal utilization of HR systems.

Essential Duties And Responsibilities

  • Data Management
  • Accurate and timely entry of employee data into the HRIS, including new hires, terminations, promotions, and other changes.
  • Regularly audit HR data to ensure data integrity.
  • Create user accounts, manage user access and permissions, assign security access and update employee information.
  • Acts as the primary contact for PTO plan processing, Holiday Float processing, and PTO payout processing in HRIS system.
  • Acts as the backup contact for the HRIS Data Specialist in processing status changes, P&Ds, document uploads and other duties as needed.
  • System Maintenance
  • Conduct regular updates and system maintenance to ensure the HRIS is functioning effectively.
  • Collaborate with IT and HRIS vendor to troubleshoot and resolve system issues.
  • Analyzing HRIS performance metrics and resolving application issues.
  • Reporting
  • Generate and provide regular HRIS reports to support HR and management decision-making.
  • Customize and create ad-hoc reports as needed.
  • Collaborates with HR team to create standard reports to meet business needs.
  • Assists HRIS Manager with more complex reporting needs.
  • User Administration
  • Provide support and training to HR staff and other users on HRIS functionality.
  • Troubleshoot and address user inquiries related to the HRIS.
  • Collaborating with HR managers and other stakeholders to determine HRIS needs.
  • Maintains, updates and audits forms located in the HRIS.
  • Audit HR processes, procedures, and workflows to streamline and continuously improve efficiencies in the HRIS.
  • Compliance
  • Ensure compliance with data privacy and security regulations.
  • Keep abreast of changes in regulations and update HRIS processes accordingly.
  • Ensure I-9, E-Verify and immigration compliance
  • Integration
  • Collaborate with other departments to integrate HRIS data with other business systems.
  • Streamline data flow and processes between HRIS and related systems.
  • Works with the HRIS Manager to develop system improvements and implementations.

  • Familiarity and understanding of HR policies, procedures, and compliance
  • High integrity and professionalism to handle private and confidential information

  • The ability to use a computer for extended periods
  • Strong interpersonal and communication skills.
  • Basic use of office equipment such as copier, printer and letter folding machine regularly


Education And Work Experience

  • Bachelor or Associate degree in HR Management, Information Technology, Business Administration, or related field required or equivalent experience
  • Two or more years’ experience working with HRIS systems and process improvement required.
  • Prior leadership experience is preferred

The HRIS Administrator is a salaried position.
