Position Summary

The Manager, acccounting and finance will be responsible for the daily, monthly and annual aspects of accounting and financial reporting for the association in a fully remote work environment. Responsibilities will cover the basic accounting functions including accounts payable, accounts receivable, and general ledger accounting & reporting to support the financial backbone of the organization. The manager, accounting and finance will also perform cash control, credit and collection management, project reconciliations, journal entry recording and bank & payroll reconciliations.


Primary responsibilities include:


Accounts Payable:

  • Monitor corporate and regional inboxes for needed invoice payments
  • Process payables (corporate & volunteer reimbursements), via electronic approval process, in Intacct General Ledger System
  • Review invoice coding and ensure reimbursements are in compliance with corporate policy
  • Initiate payment to vendors and volunteers using online bill payment system on a weekly basis



Accounts Receivable and Collection:

  • Oversee accounts receivable process
  • Create corporate and chapter invoices via invoicing process in the Association Management System and maintains accurate records of accounts receivables in the financial system
  • Reconcile outstanding amounts for events, memberships and sponsorships
  • Monitors collections on aging invoices and prepares reconciliation reports


General Ledger & Monthly Close Process:

  • Facilitate and complete monthly close procedures according to internal close schedule
  • Prepare monthly account reconciliations and journal entries
  • Review for accuracy event revenue reconciliations and resolve discrepancies with the regional treasurer’s team
  • Prepare event revenue recognition journal entries
  • Prepare monthly bank reconciliations for corporate bank accounts
  • Distribute monthly financial close reports to treasurers


Policies, Procedures & Audit

  • Assist in gathering information and preparing schedules for year-end audit according to the client participation list
  • Document and monitor internal controls & procedures
  • Assisting with financial and tax audits
  • Assisting in creating written procedure manuals
  • Enforce and monitor compliance of the regions with organization accounting policies and procedures.
  • Research accounting errors & omissions



Communication & Reporting

  • On-boarding and ongoing training assistance to regional treasurers
  • A go-to person for financial advice to the regional treasurers
  • Preparing daily, monthly, quarterly and yearly communications to treasures to enforce timeliness and communication
  • Coordinating accounting projects and initiatives with other teams
  • Provides reports and status updates to other teams
  • Reviewing and analyzing complex financial reports and records


Other

  • Assist with annual budget preparation, reviews budget information in the accounting system
  • Other duties as assigned.


Core competencies:

The candidate should have strong accounting, financial reporting and communication skills with particular strengths in the following areas:


  • Relationship-building skills with both internal and external clients.
  • Excellent project management, written and verbal communication as well as technical proficiency in cloud technology.
  • Demonstrated ability to think and perform strategically, cohesively integrating input from diverse sources
  • Strong analytical and financial accounting and reporting skills
  • Customer service skills necessary to work with any of 15 chapter treasurers in this member-driven, global organization.


Experience:

The ideal candidate should have a minimum of five years of accounting experience preferably in a global not-for-profit environment that is fast-paced where entrepreneurial skills are essential. Not for Profit Generally Accepted Accounting Principles knowledge is helpful


Excellent technical competence in accounting software, Microsoft Office software specifically Excel, and ability to quickly learn new software and applications


Characteristics:

  • Ability to handle a relatively consistent workload in a timely manner including email, phone calls and financial reporting deadlines.
  • Is fully comfortable with a hands-on job since most of the functions will be completed on an independent basis with periodic check-in with the associate director of finance
  • Capable of driving change through collaboration and appreciation of the challenges of working with a volunteer workforce.
  • Effective multi-tasker with the ability to handle multiple responsibilities without losing quality.
  • Be able to work as a team member in a virtual environment and take on new responsibilities as necessary with a “can do” attitude.
  • Ability to deal with ambiguity and a dynamic environment as the infrastructure of the organization is undergoing transition to accommodate fast-paced growth.


Travel:

Occasional travel for in-person meetings with staff based on business necessity.
