The primary focus of the Member Relations Coordinator is to receive incoming calls, greet members, guests and visitors and create a great first impression of the club and its outlets.
Essential Duties And Responsibilities
- Answer all incoming phone calls and either assist member or direct them to the appropriate party.
- Maintain a friendly service-oriented attitude among frequent interruptions from members, guests, staff and other visitors.
- Reserve dining reservations for members in all dining outlets including Harry’s and the Grill Room.
- Make other reservations as required.
- Promote and support effective departmental and club communications with a prompt response to all inquiries and messages.
- Maintain effective, confidential, secure record keeping.
- Maintain intranet to ensure that daily schedules are accurate.
- Ensure that work area is neat, clean, and organized.
- Monitor and distribute all incoming company mail as well as any incoming member mail.
- Assist with creating member guest credentials
- Log incoming mail for the Accounting Department.
- Assist with member inquiries and coordinate requests for services.
- Perform any required administrative office work during the course of a shift, provided that member public areas are covered.
- Maintain complete knowledge of all member functions and services offered.
- Other duties as assigned.
- High school diploma or equivalent.
- Minimum two (2) years demonstrated experience in customer service and hospitality.
- Minimum 18 years of age.
- Demonstrated flexibility and aptitude for learning and establishing new skills and procedures
- Possess computer skills, including, but not limited to, use of Microsoft Office Programs and Jonas Software.
- Excellent relationship-building skills and desire to provide exceptional customer service.
- Ability to communicate well with excellent professionalism, both orally and written, with members and employees.
- Strong organizational skills with a proficiency in prioritizing, coordinating, multi-tasking, and following through with all task.
- Detail-oriented.
- Knowledge of effective office administrative practices and computer systems.
- Ability to maintain strict confidentiality of all member, guest, and company information.
- Ability to ensure compliance with brand standards, policies and procedures.
- Ability to develop strong, productive, professional relationships with members, guests, staff and visitors.
- Ability to maintain a cohesive team environment.
- Ability to work well under pressure and to remain calm in stressful situations.
- Ability to think quickly and make sound judgments.
