Position Summary
CTE is seeking a multi-tasker with excellent communication skills and an upbeat attitude. This position will act as the Office Manager of CTE HQ, assisting with general office management and human resource tasks in support of a 60-person staff. This position will also provide clerical and administrative support to members of our leadership team. The ideal candidate is attentive, professional, polite, and willing to meet each challenge directly. The ability to support and prioritize multiple tasks simultaneously are key. This position offers opportunity for growth in the area of Human Resources.
Responsibilities
Sustain strong attention to detail across multiple tasks
Prepare agendas, make travel arrangements, and maintain calendars for senior staff
Facilitate the exchange of information across multiple parties using effective and cordial communication
Oversee telephone service, email correspondence, and mail distribution
Securely mail and ship documents to employees, clients, and contractors
Manage a stock of supplies by ordering items, including but not limited to computer hardware, stationary, cleaning products, and food/beverage
Maintain a neat office environment through routine cleaning and tidying
Organize the office to maximize space and create intuitive storage systems
Organize staff events and activities (e.g. lunches, outings, etc.)
Assist HR with compliance measures, including annual reporting requirements and DOL and OSHA updates
Assist HR with recruitment and onboarding of new employees (e.g. organizing applications, scheduling interviews, preparing and processing onboarding paperwork)
Provide light IT support (e.g. coordinating computer troubleshooting, repair, and replacement; maintaining Verizon business account)
Required Qualifications
High school diploma or equivalent required; Associate’s degree in office administration, business management, or related field preferred
3+ years of administrative experience
High degree of organizational skill and problem-solving ability
Ability to prioritize and execute to meet the needs of the organization and senior staff in a timely manner
Ability to work as a self-starter
Demonstrated history of collaboration and teamwork
Effective verbal and written communication skills
Proficient with Microsoft Office and Google Suite applications
Experience with Salesforce preferred
Proficient in English writing
Legally eligible to work in the United States
Salary Range
$45,000 - $60,000
