Job Summary

Provide secretarial support to specific administrator(s) or department to ensure the office operates smoothly and efficiently. Assist staff, students, parents, and patrons.

Essential Duties And Responsibilities

  • Include the following. Other duties may be assigned. Serve as a secretary to a specific administrator(s) or department. Receive visitors, schedule appointments and/or conferences, answer telephone calls and refer to the appropriate administrator or staff member.
  • Communicate information to students, parents, and patrons in person or by telephone where judgment, knowledge, and interpretation of school, district, and state policies and regulations are necessary.
  • Communicate effectively with students, parents, patrons, coworkers, instructional staff and administrators, both orally and in writing, utilizing correct English, grammar, spelling, punctuation, and vocabulary. Respond to office emails with direction from senior office staff and administrator.
  • Prepare, proof and review documents, records and forms for accuracy, completeness and conformance to school, district, and state policies and regulations.
  • Prepare and format school newsletter each month.
  • Email families weekly with teacher updates.
  • Operate computer equipment to update database and to prepare a variety of documents, correspondence, reports and related materials, utilizing various software, i.e., word processing, desktop publishing, spreadsheets, etc. Operate a variety of office machines and equipment.
  • Assist with outside and lunchroom duties.
  • Establish and maintain positive staff and public relations.
  • Resolve routine or emergency situations in the absence of the administrator(s) or department head.
  • Assist other office personnel as needed.
  • Perform other duties as assigned.

Education, Training And Experience

  • High school diploma or equivalent; some college preferred.
  • Over two years of secretarial/clerical experience.

Skills, Knowledge, and Equipment:

  • Basic data entry, math, and typing skills. Advanced microcomputer skills preferred.
  • Working knowledge of general office procedures and equipment and the ability to coordinate, plan, organize, prioritize, and complete tasks.
  • Operating knowledge of ALIO Student Information System and current Microsoft Office software preferred at hire.
  • Ability to work with children and children with special needs.
  • Minimum of 50 wpm typing skills required.
  • Ability to promote and follow Board of Education Coherent Governance Policies, District Policies and building and department procedures; communicate, interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds and recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator.

Certificates, Licenses and Registrations:

  • Criminal background check and District fingerprinting required.
  • CPR and First Aid preferred at elementary level.
