The Operations Manager at Fill a Heart 4 Kids (FAH) plays a vital role in the organization and daily operation of our charity’s fulfillment center. This position reports directly to the Vice President and Executive Director, and is responsible for general operations, including inventory management, gift processing and donor acknowledgement, communication with volunteers and donors, expense processing, database management, and administrative support. The position includes opportunities for learning and growth, and the latitude to recommend improvements to business management processes. As a true member of the team, this position is a key connection between programs, fundraising, and administration and must embrace a professional demeanor, possess excellent communication skills, and demonstrate a passion for the organization's mission. This position requires a proactive, organized, and adaptable individual who is committed to maintaining a high level of service and dedication to the cause.


Primary Responsibilities 

·       Partner with Vice President and Founder/Executive Director to establish, maintain, and improve overall operations to support nonprofit growth.

·       Primary responsibility for administrative functions, including office systems and upkeep, data entry, correspondence, in addition to event, development and program support.

·       Maintain accurate inventory control by conducting regular stock counts and system updates.

·       Logging/tracking of all gifts received in Network for good and revenue reporting.

·       Creating/distributing donor acknowledgments.

·       Maintain clear communications with internal/external constituents.

·       Maintain contacts and donor databases.

·       Lead Volunteer Program 

·       Partner with bookkeeper to process expenses and reconcile expenses and QuickBooks.

·       Contribute to organization’s overall communications vehicles (newsletter, annual report, etc.)

·       Provide support to Executive Director and share general office duties, as needed.


 Job Qualifications

·       Associates or Bachelors degree, preferably in a business-related field

·       Minimum one-two years of experience in business, not-for-profit sector or related field

·       Commitment to Fill a Heart 4 Kids Mission and sensitive to the nature of our clients and the community that supports us

·       Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)

·       Familiarity with CRM systems and QuickBooks

·       Proficient in inventory control procedures and practices

·       Well organized, accurate, attention to detail, dependable, ability to multi-task, strong time management, strong work ethic, cooperative, willing to learn, and customer service oriented


Hours/Schedule

Salaried role. Salary commensurate with experience. General Office Hours: 9:00am – 5:00 pm.
