Job Duties

Primary Focus:Administrative Support (60%) and Operations Support (40%)

Administrative Tasks

  • Maintain and manage the executive's calendar, including scheduling meetings, appointments, and travel. Ensure optimal use of the executive's time and resolve any scheduling conflicts.
  • Plan and book all travel-related arrangements, including flights, accommodations, and ground transportation. Ensure that all trips are executed smoothly, and able to handle any changes or emergencies that arise during trips.
  • Plan and organize internal and external meetings, including reserving venues, arranging technology needs, and coordinating with attendees.
  • Other administrative tasks.

Operational Assistance

  • Draft correspondence, reports, presentations, and other documents as needed. Ensure all materials are accurate and professionally presented.
  • Support the implementation of operational strategies and projects, involving research, analysis, collecting reports, and coordinating with team members.

Basic Qualifications

  • Bachelor’s degree
  • Entry level, 0 plus years of professional experience
  • Fluency in Chinese and English with excellent verbal and written communication abilities.
  • Location Chicago, 3 days a week on-site

Preferred Qualifications

  • Strong skill in excel and power point.
  • Strong interpersonal skills, capable of building relationships with team members, executives, and external partners.
  • Exceptional organizational, multitasking, and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
  • Demonstrated ability to handle confidential information with discretion and professionalism .
  • Strong analytical, problem-solving, and attention to detail.
