We are working with our client HeadInvest in seeking a Portfolio Administrator, to join their team in downtown Portland, Maine! This is a full-time, in-office position that plays an essential role in providing direct client services acting as the clients’ communication point person and liaison between client and professionals including managers, custodians and third-party professionals. The Portfolio Administrator performs a wide variety of high-priority administrative tasks including the preparation of client materials and financial plans, contracts, reports and custodial paperwork. Ideal candidates are effective collaborators in a fast-paced environment, enjoy the operations side of investments and trading, have exceptional communication skills, and meticulous attention to detail.
Requirements of the Portfolio Administrator:
Bachelor’s degree, or other formal education, or minimum of five years of experience in lieu, in a financial service-related field.
A minimum of five years of proven successful client service experience in a financial service-related field.
Working knowledge of MS Office suite products, Black Diamond, AXYS, Assemblage, Adobe and other applicable portfolio software tools required to perform effectively and efficiently to meet client and compliance needs.
Self-directed/intrinsic motivation; ability to work well independently with minimal to moderate supervision.
Demonstrated accuracy and strong attention to detail.
Possesses polished technical, written, and verbal skills.

Responsibilities of the Portfolio Administrator:
Work closely with the Portfolio/Relationship Managers, maintain primary responsibility for clients and their accounts that are assigned to individual, and provide client services to any other HeadInvest clients when needed.
Accurately and efficiently perform, or oversee the completion of, client account administrative tasks such as cash needs and transfers, gifting, obtaining and forwarding tax information, statements and client account data, calculation of IRA client Required Minimum Distributions and trust income distributions.
Open and close accounts efficiently by completing required account forms, obtaining the appropriate documents from clients and others as needed, and by working directly with the custodian representatives to complete the process.
Work collaboratively with the Client Services Team to streamline processes, policies and procedures for obtaining, recording and maintaining client data and client onboarding, account opening, closing and administration, consistent with achieving HeadInvest’ s goal of providing exemplary client service.
Assist with compliance duties as requested.
