The Program Manager is responsible for the coordination and management of assigned client inventory. Program Mangers participate in Pre-sale and post-sale warehouse pull and prep projects. Projects managed are for large volume MSA clients (tier 1). Program Managers successfully utilize or interact with Sales, Project Management, Estimating, Detailing, Cost Accounting, Trace, and utilize GBMS and TRACE systems to manage assigned client projects. Program Managers have an in-depth knowledge of the client inventory as well as the TRACE inventory management system to effectively organize, plan, and manage client show programs. Program Managers partner will all GES operational departments to ensure they communicate project information in a timely and accurate manner.

Job Responsibilities:

  • Create client property TRACE reservation.
  • Validate the reservation to confirm availability and identify damaged items.
    • Communicate damaged or missing items to the AM/PM for resolution.
    • Amend/Change/Update TRACE as necessary.
  • Completed reservations sent to the AM, PM, and Estimator to create the pull and prep /Receive-in estimate.
  • Work in conjunction with the PM as needed to facilitate the work to the warehouse.
Post Sale

  • Ensure any new or added items from show site are TRACED properly upon receive in process and communicated to the AM/PM.
  • Provide shipping documents as necessary to AM/PM and warehouse dock.
  • Communicate all scope changes to the AM/PM to document through the change order process.
  • Ensure properties return and inspected per the inbound Receive-in process and inform/resolve TRACE conflicts, damage and missing items with the AM/PM
  • Support field installation questions as required.

General Responsibilities

  • Provide Sales and warehouse personnel with property details - have expert property knowledge.
  • Owner of client inventory to ensure items are entered into TRACE correctly and client inventory is up to date and accurate.
  • Attend PTE and presale process to understand all project details and objectives.
  • Create and estimate pull and prep and receive-in lines on work order.
  • Work with Account Managers to create pull and prep/receive-in change orders as required for scope changes.
  • Confirm property use through TRACE, adjust reservation as required.
  • Coordinate outbound shipment with Sales to ensure timely and accurate shipments.
  • Check all shipping documents (packing lists, discrepancy reports, etc.) and distribute to sales, project manager, shipping clerk and Warehouse Foreman.
  • Ensure new properties are added to TRACE.
  • Proficient knowledge of TRACE.
  • Proficient knowledge of GBMS.
  • Manage inbound receipt of properties from show including all Trace reporting and discrepancy resolution. Ensure reporting is sent to Sales and Project Management.
