The Opportunity.

The Event Technician reports to the Events Manager to deliver excellent standards of visitor service at the Bradley Estate in Canton, MA for our seasonal signature event, WinterLights. The Event Technician will work on a team with the Portfolio Director, Stewardship Manager, and Events Manager to coordinate all aspects of set-up, run-of-show, and breakdown for WinterLights. In this position, you will be coordinating event staff and volunteers, executing a logistics plan and master schedule, working within the constraints of an event budget with revenue targets and spending limits, and overseeing the delivery of exceptional visitor experience to our guests. This position will begin as early as August 15th and continue as late as January 31st. This is a full-time position, requiring 40 hours per week. The installation for the event is September 1st-November 27th, Monday-Friday, 8 hours per day, with occasional weekends and nights. The run-of show is November 29th-January 5th, Wednesday-Sunday, 1pm-9pm. Clean-up and show breakdown is January 6th–January 31st with the opportunity to extend employment through the duration of breakdown if conditions warrant extending this period beyond January 31st. Show breakdown is Monday-Friday, 8 hours per day

In This role You Will

  • Manage all day-to-day aspects of set-up and installation. Installation of WinterLights starts September 1st and concludes November 27th. This includes, but is not limited to:
  • Ensuring deliverables are met in a timely manner to meet strict set-up deadlines.
  • Actively lead the physical set-up of the show, which includes moving show elements out of storage, testing lights and displays, use of ladders and other equipment to aid installation.
  • Demonstrate expertise in facility and infrastructure management, specifically related to electrical systems. A core competency and knowledge of electric power, voltage, amp, line loss, limits, etc. is required.
  • Utilizing carpentry skills and knowledge to properly and safely construct show staging and elements
  • Use of hand and power tools
  • Coordinate with Trustees state-wide engagement and events staff to align the Bradley Estate with organizational priorities.
  • Coordination of seasonal event staff and volunteer core.
  • Completing all permitting and site inspection requirements per the town of Canton.
  • Coordination and leadership during run-of-show. The show is open to the public November 29th through January 5th:
  • Continuously monitor show elements throughout the season to ensure all aspects function and the show is ready for visitors. This includes the replacement of damaged light and sound equipment, clearing show trail of debris, prepping show trail for visitors in varied weather conditions, and working with the events team to prepare the property each night.
  • Serve as the shift manager each night at Winterlights. Arrive prior to the event staff to ensure daily operations run smoothly and stay on-site through the duration of nightly closing and clean-up.
  • Manage entrance and arrival sequence for visitors, including the management of staff stationed in parking lots to ensure for a safe a welcoming experience, minimizing vehicular congestion.
  • Demonstrate leadership to troubleshoot throughout the show and deploy staff and resources to make sure the show runs smoothly.
  • Be a representative of the Trustees to our visitors throughout the show, offering insight into our mission, membership, and experiences across the state.
  • Coordinate site logistics prior to and during weather events to ensure the safety of our visitors and staff.
  • Other duties as assigned with or without accommodation. 
  • Manage breakdown and clean-up. Breakdown begins January 6th and typically concludes January 31st. Depending on site constraints and weather, breakdown may extend into February.
  • In partnership with Stewardship Manager and Events Manager, develop and implement a succinct breakdown and clean up schedule for all interior and exterior displays while ensuring the safe and efficient storage of all display items.
  • Coordinate staff and breakdown schedule to expedite the clean-up process and deliver on budget targets.
  • Complete final reporting to Trustees statewide staff including total revenue and spending data, visitor experience feedback, and proposed show improvements.

Qualifications

  • Excellent “people skills” to lead, inspire, motivate and work cooperatively and harmoniously with fellow employees, volunteers, committees, members and the public. 
  • Previous staff management experience is desirable.
  • Previous experience in AV, lighting, electrical, set design, events, and/or trades is desirable.
  • Proven ability to work independently and collaboratively as a team member. 
  • Demonstrated ability to complete assigned tasks and projects, meet deadlines and manage multiple tasks. 
  • Previous budget management experience is highly desirable. The ability to manage a budget to the bottom line, aligning spending limits with revenue targets is required.
  • Strong commitment to the mission of The Trustees of Reservations. 
  • The ability to work nights and weekends is required. 
  • Must be willing to climb ladders and lift heavy objects.
