Senior Executive Assistant to CEO and CFO

Responsibilities:

  • Provide executive administrative support to the Chief Executive Officer (CEO) and the Chief Financial Officer (CFO) and work closely with the Chief of Staff
  • Optimize the executives’ workflows and streamline their day to be as efficient as possible
  • Manage executives’ calendars, act as a gatekeeper, paying attention to company priorities, sensitive and urgent matters
  • Enable the executives to focus on the company’s vision by owning all administrative tasks
  • Liaise with high-profile board members and support with coordination and communication
  • Proactively resolve last-minute changes and meeting requests with grace and finesse
  • Prepare and coordinate internal and external meetings to ensure the executives are well-prepared and debriefed prior to each engagement to maximize meeting time and presence
  • Plan extensive travel arrangements and manage expenses
  • Keep a pulse on the executives’ priorities and manage their calendars accordingly
  • Seek out the context of the business (why the executives are meeting with certain people) in order to assimilate information and provide strategic support
  • Anticipate the executives’ needs before they arise, adjust as needed with priorities top-of-mind
  • Partner with the Chief of Staff and broader EA team on strategic initiatives and special projects
  • Organize and attend executive meetings, taking minutes and tracking follow-up actions
  • Assist in planning and coordinating company events and executive retreats
  • Operate with complete discretion and serve as a trusted sounding board to the executives
  • Serve as a trusted liaison on behalf of the executives and cultivate relationships with team members



Qualifications:

  • Exceptional interpersonal skills
  • Experience managing very dynamic calendars
  • Demonstrated ability to manage various projects, including events
  • Strong organizational skills and ability to multitask
  • Problem-solving and decision-making skills
  • Ability to act as gatekeeper and escalate relevant information to executives as needed
  • Ability to work effectively with minimal supervision
  • Ability to treat confidential information with appropriate discretion
  • Exceptional attention to detail
  • Experience with internal tools and software
  • Expense management
  • Travel coordination (multi-leg, international & domestic. Private as well as commercial)
  • Ability to create & modify presentations and collaborate on special projects
  • Resilient and flexible. Must be able to jump in and help when needed



Requirements

  • Bachelor’s degree or equivalent, preferred
  • 5+ years of experience supporting C-level executive(s) within the technology, financial, or life sciences industries
  • Experience as an executive assistant supporting at least two C-level executives, preferred
  • Previous experience working with Board of Directors, preferred
  • Extensive experience in Microsoft Outlook, Word, Excel, PowerPoint, Teams, Zoom
  • Strong communication and organizational skills are required
  • Track record of professional success
  • Positive, can-do attitude



Non-Field Based Employees are required to be onsite Monday-Thursday (Friday work from home). Depending on the role, some employees may be required to be 100% onsite.


You may be required from time to time to visit and work at PacBio locations and for such times as the Company considers necessary for the proper performance of your duties.
