We seek a colleague who has experience working in a fast-paced environment where addressing student needs, and the needs of their families, is a priority. The ideal candidate will be comfortable leveraging technology to improve upon existing processes and interested in developing new systems of organization. Reporting to the Assistant Head for Student Life, the Student Life Office Manager is a member of the Student Life team and will be the main point of contact to the Concord Academy (CA) community including students, parents, and faculty/staff, and therefore must demonstrate professionalism and exceptional customer service at all times. The Student Life Office Manager must be able to prioritize in order to respond quickly and effectively to student needs and other situations as they arise. The Student Life Office, under the direction of the Assistant Head for Student Life, is composed of the Director of Residential Life, the Director of Health Service, the Attendance Coordinator, the Student Activities Coordinator, and Student Life Assistants. All aspects of the CA community work closely with the Office of Community and Equity. This is a full-time, year-round, and benefits eligible role.

Essential Responsibilities

Provide superb customer service to students, parents, and stakeholders by phone, email, and in-person regarding any student-related questions, concerns, and requests.

Assist the Student Life Office in completing special projects, strategic planning, assessment, and implementing new initiatives.

Oversee the registration process annually, which includes work with various constituents for clarity of information requested to best fulfill our mission.

Utilize PowerSchool (the student information database) to prepare reports.

Coordinate and manage various student life and public facing calendar(s) under the direction of the Assistant Head for Student Life and in collaboration with the Associate Heads of School.

Sign students in and out of the school following CA’s protocols and permissions granted to each student.

Assist with travel preparations, expense reporting, events, and logistics as needed.

Coordinate and manage student staffing for the Student Life Office.

Triage email for the Student Life Office, assigning the emails to the appropriate individual.

Additional duties assigned.

Communication

Review and update content for the weekly community newsletter.

Manage the communications team in ensuring family resources are updated on external facing websites and internal content is updated on CA connect.

Manage the annual editing and formatting process for the community handbook in collaboration with various departments, including updating addendums and working with legal counsel to vet new policies.

Student Life Programming and Initiatives

Assist the Student Life Office in completing special projects, strategic planning, assessment, and implementing new initiatives.

Oversee annual contract, parent communication, and financials as it pertains to the yearbook.

Collaborate with the C&E Office to ensure alignment of student life policies with school mission statement.

Provide technical support for virtual school wide events.

Coordinate logistics for all student facing school events (i.e. assemblies, JLR, senior celebrations, senior beach day).

Manage the population of the Chapel and student events calendar.

Manage whereabouts tracking through Orah including attendance and passes for students.

Residential Life Support

Point person in the Student Life Office for the Orah system.

Manage and support the scheduling of the transportation of students prior to and returning from major school breaks. This includes reserving drivers and vans/mini-buses, managing the compensation for drivers, communicating the departure/arrival schedule for students, and working with the Director of Residential Life to ensure student passes and travel plans are accurate prior to departure from campus.

Requirements

Bachelor’s Degree;

2+ years of related experience in an academic environment strongly preferred;

Proficient in MS Office and Google Suite (particularly Google calendar), working knowledge of Orah, PowerSchool and other student related databases;

Excellent oral communication skills; with strong organizational and interpersonal skills and attention to detail;

Superb customer service;

Project/event management experience;

Willingness to embrace CA’s culture and be a member of the community;

Excellent writing and editing skills;

High attention to detail;

Ability to work independently and manage multiple responsibilities simultaneously;

Anticipate and help to resolve problems; able to prioritize and manage multiple projects within a fast-paced environment;

Ability to maintain a high level of confidentiality;

Ability to lead a project from inception to completion;

Ability to work evenings and weekends as needed;

Responsibility-oriented and not task-oriented;

Ability to build and cultivate relationships with a wide variety of internal and external stakeholders;

Comfortable with change and ambiguity.

Demonstrated ability to efficiently manage processes related to student support services.

Excellent interpersonal skills, cheerful and positive approach when working with students and other stakeholders.

Self-motivated; must be comfortable working both independently and collaboratively within the context of a team environment.

Anticipate and help to resolve problems; able to prioritize and manage multiple projects within a fast-paced environment.

Proactive attitude with the ability to exercise judgment.

Ability to maintain strict confidentiality.

Responsibility-oriented; not task-oriented.

Candidates must pass a criminal record check;

Ability to traverse the CA campus including climbing stairs;

Ability to lift and carry materials for the office (up to 20 lbs.)
