Join our dynamic team as a Warehouse Operations Manager. We are seeking an experienced Manager to oversee all aspects of warehouse operations, including inventory management, receiving and shipping, quality, and safety.

Responsibilities include managing day-to-day inventory and shipments, optimizing workflows, implementing efficiency improvements, maintaining accurate inventory and financial records, and ensuring compliance with ORS quality procedures and applicable external regulations. This position manages relationships with warehouse companies, ensuring secure and timely storage and delivery of products and components

We are looking for some in the Indianapolis, Indiana area with at least 8 years of experience in distribution and warehouse management. Experience with warehousing and/or distribution of medical devices and/or pharmaceutical products is desirable.

Duties/Responsibilities

Relationship Management and Communication

Be the primary and central contact between ORS and the warehouse company(ies).

Collaborate with ORS stakeholders in Operations, Quality, and Client Services to manage warehouse inventory and transactions in accordance with production schedules, customer demand, and quality requirements.

Timely and effectively resolve warehouse and shipping issues as they arise.

Supplier Identification and Evaluation

Evaluate and monitor existing warehouse company’s capabilities, reliability, and financial stability through audits, reviews, and performance metrics.

If necessary, seek out, evaluate, select, and on-board alternate warehouse companies.

Contract Negotiation and Management

Monitor and manage existing contracts and agreements with existing warehouse suppliers, ensuring compliance and addressing any discrepancies or issues.

As necessary, negotiate new and renewed contracts, pricing, terms and conditions, to secure favorable agreements.

Supplier Collaboration and Oversight

Ensure that shipments from warehouse are on a FEFO (first-expiration-first-out) basis and in accordance with ORS quality procedures for expiration date and lot release.

Complete EDI integration between ORS and existing warehouse company to streamline the inventory and order fulfillment process. Ensure that any new warehouse company has EDI integration with ORS systems.

Responsible for reviewing and approving, or correcting, all invoices from warehouse companies and freight companies.

Monitor and ensure that warehouse facilities have appropriate systems and controls to ensure integrity and quality of ORS items including environmental control, fire safety, rodent control, racking, and forklift operations.

Generate regular reports on warehouse and shipping KPIs such as inventory turnover, order accuracy, on-time delivery, and shipping damage. Analyze data to identify trends, inefficiencies, or areas for improvement.

Plan for continuous improvement of procedures and processes and collaborate with warehouse company(ies) and ORS stakeholders to implement those improvements.

Ensure that warehouse staff adhere to ORS policies and procedures.

Verify documentation of incoming raw materials, components and finished goods for damage or discrepancies and ensure that outgoing shipments meet quality standards. Perform in-person inspections and audits of warehouse as needed.


Job Requirements

Required Skills/Abilities

Excellent verbal and written communication skills.

Ability to anticipate and solve problems. Excellent organizational skills and attention to detail.

Ability to meet deadlines.

Proficient with Microsoft Excel.

Proficient with data entry and inventory software and systems.

Location and remote work

The incumbent will need to be located within a few hours or less of travel to the warehouse company locations in the Indianapolis Indiana area.

The incumbent will typically be at warehouse locations several days per week and in-person at ORS Itasca, Illinois several times a month.

Other domestic travel may be needed, typically less than 10%.

Education and Experience

Degree in Business, Project Management, Operations or similar field, or equivalent experience, required.

At least eight (8) years of experience in distribution and warehouse management required.

Experience with warehousing and/or distribution of medical devices and/or pharmaceutical products is desirable.
