*ever work with someone who just gets it?* Recently, I’ve been partnering with a local dentist who has been working to get her hygiene department off the ground. When I tell you she’s a trailblazer, this is no exaggeration. As a veteran dentist, she not only does great clinical work but she takes pride in her staff. She refers to her practice as we and us, instead of I or me. She has established a profitable membership program that is both beneficial to the office and to her patients, she treats comprehensively and doesn’t shy away from technology or products. In fact, she is implementing AI, the most up to date scanner technology and keeps her eye open to improved home care products. The dentist of our dreams? Pretty much. But I digress, let’s get into her hygiene department prowess. We discussed the autonomy of the hygiene program and she is 100% onboard. She has also provided her single hygienist with a hygiene assistant. Here are just some of the duties implemented in this assistant role: • Take x-rays, scans and intraoral photos • Document periodontal measurements • Put in treatment plan • Schedule next visits. • Get products ready for the patient. • Set and break down the room. • Handle all sterilization. You say, “Okay Anjuli, this sounds just like what a lot of other offices do so that the hygienist can run double columns. This is nothing new.” Well, prepare to be shocked. She has budgeted for a hygiene assistant, not for double hygiene, but for efficiency of the appointment. The Doctor wants her hygienist to spend her time being a hygienist and educating. She wants her hygienist to be collaborating and using the technology to build trust and buy in. She doesn’t want her hygienist to burn out. She wants her hygienist to stick around. Guess what? Her patients love the practice. Her and the hygienist’s treatment acceptance is through the roof. Does the flow for your patient handoff from clinical to admin happen the same way each and every time? Do your hygienists do the handoff one way and your dental assistants do it another way…if so this will without a shadow of a doubt create a hardship! Consistency is the piece that most offices struggle with. Using a route slip will change your efficiency and build a strong schedule! Every person must follow the flow and process consistently with the handoffs and when they deliver the information in the same way your patients will say yes each and every time. I suggest your practice/team uses a route slip and the handoff can be something like this: 1. State the next treatment needed. 2. The date the Doctor would like treatment done by (in the next couple weeks or can wait till the patient is back from holidays or can it wait till they are in for their next hygiene appointment etc.) SET parameters for time! 3. How much time is required to complete the treatment (and better yet...instead of saying 60mins - list it in assistant doctor assistant time) to dial in on efficiency! 4.
