I recently read an article suggesting fewer meetings and advocating for asking four questions to structure them. While I agree that purpose is important, I don’t believe reducing meetings is the answer. Status update meetings, when structured well, are key to collaboration. They help identify bottlenecks, align teams, and ensure progress. Instead of cutting meetings, let’s make them more purposeful by asking the right questions, but still keeping regular check-ins to maintain momentum and foster teamwork.

A common conundrum that we hear is “how do I get my team to speak up in team meetings?” 🔊 “I feel like it’s my own voice all the time!” There’s no question that virtual meetings have made workplace communications easier with features like chat, Q&A, breakout rooms, reaction icons, virtual whiteboards, and polls making it easier than ever to ask questions and request ideas from meeting attendees. However, many leaders – and still struggle to create the conditions which encourage people to speak up and for meaningful team meetings to take place. How do you ask for ideas or feedback during a virtual meeting in a way that returns valuable answers (and not just from the usual extroverts)? Here’s some ideas: 1. Establish Rules that Encourage Participation 2. Share Your Questions Ahead of Time 3. Use Silence (hold for 5-7 seconds) Above all, make yourself a participant in the conversation, not just the conversation’s chairperson. If people see you care enough to pay close attention and be involved, they will be more comfortable sharing insights with you. How many times have we found ourselves mentally clock-watching in an avalanche of aimless meetings? Here's a revelation that might change your impression of those dreaded team meetings. A recent survey by Harvard Business Review found among 182 senior management surveyed, 71% considered meetings to be inefficient and unproductive, while 65% felt that meetings prevented them from completing their work.
