Setting your day up for success is different for a field adjuster, desk adjuster, or file examiner. It also varies for those working fully remote, hybrid or fully in-office. But they all have one thing in common, if you start the day organized, your chances for a productive day multiply!
For a field adjuster, scheduling inspections is a key part of having an organized day. Setting inspections every hour probably won’t set you up for success; WHY? Life happens! Unforeseen circumstances like traffic, road closures, weather delays, an inspection may take longer than you anticipated.
If you are planning hourly appointments in your schedule, it may seem as if you are organized, but you really have created a problem for yourself because you don’t have flexibility to deal with the things out of your control! It’s recommended to schedule “buffer time” in your planning to allow for these situations, as well as time to talk to the insureds and hear about their unique claim.
It could be beneficial to invest in scheduling/contact/monitoring software to help with scheduling all your claims. For a desk adjuster or file examiner, setting accurate diaries, activities, tasks, or calendars is a huge part of having an organized day. Some carriers may dictate the timelines for certain things to be accomplished. For example, a status letter must be sent every seven days, and an automated task is set for this event. However, if you are not provided with automated tasks or calendars, you should manually set them to properly manage your day AND the life of the claim.
If you are requesting information from an insured, follow up with a letter and calendar file for two weeks. Avoid setting a reminder for Saturday or Sunday unless someone will be working those days to manage the calendars/tasks. Again, if the carrier doesn’t provide specific directions on setting manual tasks/calendars, be strategic in setting them to set yourself and the claim up for a successful, quality file.
