Ever notice how in movies, event planners just flit around with a clipboard, and voila, a perfect event unfolds? Meanwhile, in the real world, we're juggling calls, solving crises, and calculating portion sizes down to the last pea and coordinating with suppliers to make sure the real magic happens. The Art of Being Unseen: A Lesson for Proffers and Event Professionals Good event planning is all about knowing when to be in the spotlight and when to step back into the shadows. A skilled proffer knows how to guide an event with grace, without ever stealing the show. Just like the audiovisual team ensures flawless sound without being heard themselves, the proffer makes sure everything runs smoothly – with a quiet presence that enhances the experience. Their movements are purposeful, their demeanor professional, and when mistakes happen (as they inevitably do), they handle it with such composure that no one ever notices. The best proffers know when to appear, when to disappear, and always walk with class. They control the flow without taking over, and that’s what makes an event truly unforgettable. #EventPlanning #ProfferTips #Professionalism #GraceUnderPressure #EventEtiquette #leadershipinaction www.ElevatingEtiquette.com

✨ Run of Show Hack ✨ In a standard Run of Show, most #eventprofs include the basics: start time, end time, activity, location. The basics of who, what, where, when. If you add a "Category" column, you can group the activities by category (venue, F&B, AV, entertainment, etc). This will allow your team to see the entire run of show, but also filter by their categories to see just the details that pertain to them. I'm always looking for event planning templates, best practices & ideas. Do you have any run of show tips 👇 #events #eventprofs

'In the event industry, we are the people without identity. Because we work when no one is watching,' says Katrien Vermeire, Managing Director at John & Jane. 👤 As it's the case for many pro AV companies, the most impactful events are the ones where they rarely get the spotlight. But, this is just the nature of our industry. Behind the scenes, you know you've done the job right when everything is prepped and no more questions are asked by the client. Want to find out how Rentman helps John&Jane deliver successful events while staying in the shadows? 🥷 Head over to our website to read more about their story. https://hubs.ly/Q02DxNPf0 #rentmansoftware #johnandjane #customerstory #eventproduction #audiovisual #successstory

Okay WOWOWOWOW - yesterday Club Ichi hosted our monthly Sounding Board on Zoom and the topic of conversation was In-House A/V. Let me tell you that I was yesterday years old when I learned that: 😮 As the event manager, I should be bringing my production team with me on the initial site visits to consider the pitfalls of each venue BEFORE I book it just because the dates/rates/space work for my group. 😮 I can negotiate rigging costs. 😮 I can lock in the A/V rental rates (without needing to know all the production specs for the program) a year or more out when I book the venue to avoid the 10%/year rising costs. 😮 My hotel sales rep can actually help me negotiate down the A/V costs because THEY are the in-house A/V company's client (not really me). Get the rest of the notes in the Club Ichi Slack channel (www.weareichi.com if you're not in Club Ichi yet.) So here's my sparky post to ask you, as event, production, and A/V professionals, let's crowdsource a planner's bill of rights to reference when working with in-house A/V. For example: 👉 I have the right to meet the team who will be onsite on the day of my event before show day. 👉 I have the right to keep the same crew who ran the rehearsal for event day. Lay it on me.

I love this! This is a great example of why you bring technical experts into your work flow sooner rather than later. Their ability to help you pick venues, locations and gear that best suit your needs and the acumen to guide you and your event to successful execution is something that should be done more often. Budgeting to spend a bit more on the front end planning can really pay dividends when it comes to pulling off excellent live shows and events.

New Year – New Talent! Welcome Erin Burden who recently joined The Collective as a Producer.🎉 Get to know our latest addition and what she will be doing in her new role. What will you be doing in The Collective? ⭐ I’ve joined the team as a Producer. How did you get into event production & was it something you always wanted to do? 💡 As a naturally organised person, in and outside of work, I always knew I would do something in this general field but moving into production was a happy accident. Originally, I was in sales and coordination, and it was suggested I try moving to a more technical role by colleagues who knew me better than I knew myself. They were right! That path led me to Technical Production and now here I am as a Producer and I wouldn't look back. What do you love most about working in this industry? 🙌 I love the fast pace and the ever developing ideas - no two events are the same because things progress so quickly. There's always something to learn! What's been your biggest challenge working on an event to date? 💪 Communication is key to any successful event so I would say the biggest challenges come when this falls down. Surprises and last-minute changes can throw a whole event off so now I always have a plan B up my sleeve (and C and D just in case!) 2024 looks like The Collective’s busiest year yet so it’s great to have talent like Erin on our team. #EventProfsUK #EventLife #EventProduction
