I love this! This is a great example of why you bring technical experts into your work flow sooner rather than later. Their ability to help you pick venues, locations and gear that best suit your needs and the acumen to guide you and your event to successful execution is something that should be done more often. Budgeting to spend a bit more on the front end planning can really pay dividends when it comes to pulling off excellent live shows and events.

Have you joined Club Ichi yet?

Okay WOWOWOWOW - yesterday Club Ichi hosted our monthly Sounding Board on Zoom and the topic of conversation was In-House A/V. Let me tell you that I was yesterday years old when I learned that: 😮 As the event manager, I should be bringing my production team with me on the initial site visits to consider the pitfalls of each venue BEFORE I book it just because the dates/rates/space work for my group. 😮 I can negotiate rigging costs. 😮 I can lock in the A/V rental rates (without needing to know all the production specs for the program) a year or more out when I book the venue to avoid the 10%/year rising costs. 😮 My hotel sales rep can actually help me negotiate down the A/V costs because THEY are the in-house A/V company's client (not really me). Get the rest of the notes in the Club Ichi Slack channel (www.weareichi.com if you're not in Club Ichi yet.) So here's my sparky post to ask you, as event, production, and A/V professionals, let's crowdsource a planner's bill of rights to reference when working with in-house A/V. For example: 👉 I have the right to meet the team who will be onsite on the day of my event before show day. 👉 I have the right to keep the same crew who ran the rehearsal for event day. Lay it on me.
