Sometimes (well, a lot of the time) events don't go as planned. Like dressing on-brand...for the wrong brand/event. 🙋♀️ If you've ever gotten married, managed a tradeshow booth, hosted a webinar or even a kids party....you know there's always something that doesn't go the way we expected. What do we do? We pivot (yes, I'm hearing Ross from "Friends" in my head - see comments for context). I had an event I helped plan recently for Abe.work Not only was I helping plan the event, but it was also a business networking event I was attending. I'm not wired to be the planner AND an attendee, so the networking piece was an after thought...at least until 3 hours before the event. I realized that I have no business cards (hot topic, I know). This was only the start. 😱I didn't have business cards for a networking event - so I pivoted. Hello digital business card (thank you to my "Better than Google" friend, Chris Zinkel). 😱 I unknowingly dressed on-brand for the wrong brand - so I pivoted. I put both events signs together and served as the "hostess stand" for all events that night (and enjoyed the laughable irony). 😱 The guest entry door wasn't working - so I pivoted. We rerouted guests through a makeshift brewery tour on their way to the event (big win!). 😱 The USB drive wasn't working as planned for our screens - so I pivoted. We grabbed any laptop available, connected and we were up and running. Planning events, managing projects and mostly everything in life comes down to how we can adapt and pivot. Here's my mental checklist when I get hit with a challenge at an event: ✅ What are all of my options? ✅ What impact will each option on on the guest/user? ✅ Based on it's impact, can I "let it go" (all of you 'Frozen' fans probably sang that line) or do I need to find an alternative solution? ✅ Pick the best solution that will have the least impact and know that you did all you could do (live and learn). In the face of unexpected challenges, remember: it's not about avoiding the chaos, but rather how gracefully we navigate through it. Attending an event alone is a daunting experience for many people. The idea of walking into a room filled with people who all seem to know one another (even though they don't) often keeps even the most confident person from signing up. A million negative thoughts run through our heads before we even get onsite: "Where am I going to sit?" "Who will I have lunch with?" "What am I going to do all alone in the evenings in a city I'm not familiar with?" "Should I even go? Maybe I should just stay home." Keeping that head trash at bay is sometimes difficult. That's where a good corporate event planner comes in. If he or she arranges the right activities to help people overcome their nervousness, they're more likely to register, attend, and have a great time--rather than spending the conference hiding out in their hotel rooms (yes, I know some people who've done this!). Here are 5 of my favorite suggestions company's can use to zap loneliness at corporate events: * Pre-event networking: Even before the day the event begins, companies can encourage registrants to meet virtually through speed networking sessions. They're relatively easy to set up, don't cost much, and can lead to higher attendance rates. Knowing that your new connection will be looking for you onsite can be the catalyst you need to actually show up. * Registration question: On the registration form, ask people whether this will be their first time attending this event. If so, reach out to newcomers via a quick phone call. It might seem old school, but hearing a friendly voice on the other end of the phone can go a long way toward making someone feel comfortable onsite. * Designated social spot: Organize a relaxed, casual area for first-timers or people attending alone. Make sure to have someone from your team there at all times to meet and greet them. If possible, have your team member make introductions between other attendees to foster relationships. * Icebreakers: Interactive activities can break down barriers and create connections among colleagues who may not usually interact. Consider activities like Two Truths and a Lie, team trivia, or a scavenger hunt to get people talking, working together, and bonding in a fun setting. * Group activities: Organize team-building exercises that encourage collaboration and foster a sense of camaraderie among participants. This could include activities such as escape rooms, cooking classes, or outdoor challenges. Working toward a common goal can help employees bond and alleviate feelings of loneliness. There are many more ways to combat isolation at events. The more corporate planners can do upfront to make people feel included, the better chance that attendees will want to engage with their peers onsite, leave the conference with a positive impression of your company, and look forward to signing up for your next event.

Organizing successful events requires meticulous planning and coordination. In this second part of my event organization series, I'll walk you through the next steps once speakers are confirmed and how we ensure everything runs smoothly up to the event day. 6. Reaching Out to the Venue Once most of our speakers are confirmed, we begin reaching out to potential venues. We send a detailed proposal that includes our confirmed partners and high-profile speakers. This significantly increases the likelihood of securing venue sponsorship. In the proposal, we highlight how the venue will help us achieve our event goals, how our event will strengthen their CSR, the duration of venue use, and any additional needs like chairs or mics. 7. HR Team Tasks Our HR team is responsible for calling moderators and facilitators for the event or logistics team within the organization. They announce the call in group chats like Messenger or Slack, where all members are present, and post a registration form to streamline the process. 8. Finance Team Tasks The finance team starts by calculating the estimated costs and drafting the sponsorship proposal. They reach out to potential sponsors with a proposal that includes the confirmed partner and guest speakers list. Just like with venue providers, we emphasize how their support will help us achieve the event goals and strengthen their CSR. 9. Respective Member’s Tasks Once roles are assigned, moderators and facilitators begin their preparations. We provide necessary training for event management, moderation, facilitation, or specific event topics to ensure everyone is well-prepared for their responsibilities. 10. Venue Preparation We arrive at the venue a day before the event to set up. This includes arranging chairs, setting up microphones, placing sponsor booths, and decorating the venue to create an inviting and professional atmosphere. My first PCMA EduCon is in the books!! After some time to reflect on my experience, this event was truly inspiring on so many different levels. The education sessions were thought provoking and addressed varying avenues within the event industry. I wanted to share some of my key takeaways below: - Sponsorships Driving Innovation 💡 : Sponsorships were highlighted as key drivers of innovation in event planning. Leveraging sponsorship opportunities not only enhances the overall event, but also fosters growth in the event through collaborative partnerships that elevate attendee experiences. Remember this: Sponsorships = ROI. Proven data and past experiences that you can quantify the ROI is key, and your sponsors will leap at the opportunities when backed by data. - Enhancing Event Experiences 🕺 : The focus on attendee & exhibitor experience was showcased from day one. From interactive networking activities, technologies, personalized touches, and creating memorable and impactful experiences was central to the event. This emphasis ensures events are engaging and leave a lasting impression leaving your attendees walking away with a smile on their face and positive thoughts racing through their heads. - The Event Industry Community is Strong 💪 : The power of community drives our industry growth. Through thought sessions and networking opportunities, these all helped strengthen connections. Events bring people together and a strong community can move mountains! - AI 🛸 : This is, and will remain a hot topic because of the power behind it to enhance our overall lives. Only 22% of community teams have a dedicated person for events, in-person or virtual. 🎟️ That's right, 3 out of 4 community professionals are multitasking, juggling event planning and production with their other roles and responsibilities. 🔄 This was my main takeaway from the 2023 Community Industry Trends Report, published by leading community events platform Bevy. 📚 (https://lnkd.in/gSg-D9aB) Other Key Insights? 📈 1️⃣ In-Person Events on the Rise: There's been a significant uptick in in-person events – they've doubled since last year, signaling a renewed desire for face-to-face interactions. 🤝 2️⃣ Staying Virtual: Despite this, a majority of communities (90%) still lean towards virtual events, valuing their wider reach and inclusivity. 🌐 3️⃣ Event Management Reality: 53% of respondents host a mix of both in-person and virtual events, showing people find value in both event formats. ⚖️ 4️⃣ Physical vs. Virtual: The report finds that in-person events excel at creating personal connections and have a greater business impact, while virtual events are key for building communities and reaching a wider, newer audience. 🌍 ↔️ 📲 🤔 My Perspective? Virtual events and live streams are too often seen as mere add-ons to physical events or a backup for those who can't attend in person. 🚫 With the gaining popularity of DIY tools like StreamYard, Gather, and Airmeet, I believe 2024 will see more and more people embrace virtual events and live streams as their own distinct mediums, completely separate from in-person experience. 🛠️ More than just a Plan B, live online-only experiences will continue to evolve as an essential way we build communities. 🚀
