Use the calendar as a secondary tool to block out time for tasks, but have another system in place for reminders. 3. 𝐎𝐫𝐠𝐚𝐧𝐢𝐳𝐞 𝐘𝐨𝐮𝐫 𝐓𝐚𝐬𝐤𝐬: Use folders or categories based on priority, project, or type of work. Enter tasks with due dates, priority levels, and relevant notes. 4. 𝐒𝐞𝐭 𝐑𝐞𝐦𝐢𝐧𝐝𝐞𝐫𝐬: Enable notifications to alert you when tasks are due. With Outlook's built-in notifications, I'm always reminded of upcoming tasks and deadlines. For non-work reminders, I send myself emails through Gmail and use the snooze function to have reminders reappear at the right time. For repeating reminders, I re-snooze the email once I complete the task. 5. 𝐑𝐞𝐯𝐢𝐞𝐰 𝐑𝐞𝐠𝐮𝐥𝐚𝐫𝐥𝐲: Update your system weekly to ensure accuracy. Time Blocking Method is a highly effective technique that helps individuals organise their time and task in a systematic manner, allowing for increased productivity and reduced stress. Time Blocking Method involves dividing your days into blocks of time and assigning specific tasks to each block. By doing so, you create a structured schedule that help you prioritize your responsibilities and allocate time to accomplish them. Chiming in on the Eisenhower Matrix conversation, and I must say, it’s like finding a compass in the wilderness of to-dos! I’ve always been a fan of visual tools that clear the fog on the battlefield of tasks. The Eisenhower Matrix isn’t just a tool; it’s a strategic ally. It’s like having a personal assistant who’s not afraid to say, “This can wait,” or, “Delegate this stat!” Here’s a twist I’ve added to my matrix: color-coding! Red for the “Do First” tasks that are as hot as a habanero, yellow for the “Schedule” ones that are important but not urgent, green for “Delegate” because, let’s face it, sharing is caring, and blue for “Eliminate” – as cool and dismissive as a polar bear’s nod. And for those starting out, remember, it’s not just about categorizing; it’s about being brutally honest with what deserves your time. Ask yourself, “Will this task be my legacy?” If not, maybe it’s not worth your prime time. So, what’s my ultimate time management tool?
