Looking back, I see that a significant obstacle cross-functional teams encounter in delivering high-quality products is the lack of sufficient communication and shared understanding among team members. This crucial aspect is often overlooked due to the demands of busy schedules, day-to-day operations, and company activities. A situation where a team member has to do so much to get information wastes time and company resources and fosters misguided assumptions within the team. Decisions should be grounded in facts and data rather than assumptions stemming from inadequate or inaccessible information. From experience, I believe that prioritizing effective horizontal communication and shared understanding is paramount in cross-functional teams, particularly those involved in software product development. It ensures that team members can independently make informed decisions, possess comprehensive knowledge of team dynamics, promptly address conflicting perspectives, and enhance brainstorming and problem-solving through readily accessible information. Some techniques that I have found very helpful in ensuring effective horizontal communication and shared understanding on a product team are: Leveraging group chat tools: Using group chat tools like Slack, Microsoft Teams, or Discord enables seamless information exchange and real-time collaboration on software product teams. Proper documentation of company procedures: Proper documentation of a company's processes frees time for team leads to focus on more productive tasks rather than responding to queries from team members. With proper process documentation, members of a team can always reference the documentation for information or directions on how to handle recurrent activities. Utilization of AI tools for streamlined reporting: AI tools can help provide a rundown of meeting notes and agendas. With this, teams can even configure AI tools to provide weekly summaries of meetings and action points. Some AI tools that provide these services are Fireflies AI, Monica AI, Microsoft Visio, and EdrawMind AI. Ultimately, effective horizontal communication hinges on mutual respect among communicating parties within a cross-functional team. Mutual respect on a team fosters an environment where every member is receptive to providing and receiving feedback and offers timely information. Steve Jobs hated group brainstorming. Research shows individual ideas outshine group ones. Here’s why your meetings might be stifling creativity... Groupthink limits innovation. In groups people often conform to popular opinions - killing good ideas. This means missed opportunities. And fewer innovations. When everyone agrees too easily, ground breaking ideas get lost. Like a belt that doesn't go through all the loops. Encourage one on one brainstorming sessions before group discussions. (Hint: Or you can use a Chat GPT prompt for this.) Group think makes people lazy. People use less effort when working in groups compared to working alone. This phenomenon, known as 'social loafing,' can ruin creativity. If everyone assumes someone else will do the work, nothing much happens The best remedy for this? Ensure accountability. Peer pressure hinders honesty. Group dynamics can pressure people to self-censor their true opinions. Valuable feedback and constructive criticism can never happen. Without honest input, projects can veer off course. Create a safe environment where team members feel comfortable sharing their thoughts without fear of judgment. Not easy, but it is doable. If you want your team's full creative potential, get individual brainstorming before bringing ideas to the group.
