During the fair, all members of your team have to focus on their duties. It’s important to make Evening/morning wrap-ups and discuss the last day. Include in planning site briefings for the members who arrive late. For gathering contacts, you have to prepare some blanks with pre-ready points you want to know about a company. Mostly ( but not only ) contact cards include the company name, contact person and role, type of company, its interest, some additional comments - who talked to, his business card, does he wants to receive a newsletter or personal offers. Of course, on your both will come some existing clients. And your team has to be ready to collect more information that will be useful in future cooperation. All partners have to be in your CRM system, but always nice to have more info about financial situation, payment history, referrals from it and about it, ownership structure, current and new products and services/brand, quality and price level, service and maintenance policy, main customers, know-how, coverage of sales team, motivation, personal connection, requirements. During the exhibition you have control: creating first contact managing the conversation product presentation manage press contacts on stage and backstage arriving and leaving booth manager duty (coffee, snacks, cleaning booth, and stock room cleaning) Remember, your booth has to be organized with enough backstage – your team always will need some relaxation or time to refresh. After the fair, you need to create a contacts database and analyze the efficiency compared to previous fairs and your expectation; evaluate and suggest improvements. In the next part, we will talk about the evaluation of the results of the exhibition.
