The Commercial Administrator will manage and coordinate commercial activities related to construction and scaffolding projects, including contract administration, billing, invoicing, and reporting. The role involves handling incoming customer calls promptly and efficiently. Responsibilities include providing quotations, liaising with internal departments to ensure equipment availability, processing orders, and coordinating deliveries and collections. This role is ideal for individuals passionate about delivering excellent customer service and thriving in an administrative and service-oriented environment. Specific Duties & Responsibilities - Prepare and submit invoices to clients and ensure timely payment. - Prepare financial auditing and financial reports and assist in monitoring project costs. - Support Project Controls in managing project budgets and schedules. - Revenue reconciliations and revenue reporting.  - Maintain accurate accounting records and documentation for projects. - Respond to inquiries from business stakeholders in a timely and professional manner. - Payment applications (collating and representing timesheet information, rates, expenses, fixed price items). - Contract variations and related quotes/notifications (NEC3 contract experience is useful). - Provide project controls with key metrics for dashboards/forecasts.   - Progress reports and client queries. - Checking payment applications for accuracy.  - Maintaining well-ordered filing. - Submitting payment applications and invoices input into commercial strategies/ reports where needed. - Excel support e.g. checking, preparing and maintaining spreadsheets.  - Preparing and submitting staff details to clients and processing signed NonDisclosure Agreements (NDAs). - Document control.  - Occasionally tender support.   - Complete financial aspects of PQQs and ITTs. - Month end Project progress evaluation and accrual calculations for all projects.  - Accounts receivable activities such as aging analysis, AR dashboard updating and payment chasing. Qualifications and Experience: Bachelor's degree in a relevant discipline; a degree in Commerce is a plus. 1-2 years of experience in accounts/administration is an added advantage. The Contracts manager handles the planning and execution of a portfolio of projects. Responsible for managing site team leaders from Junior contracts managers and Supervisors down the chain. Providing high-level assistance for project and business success. This begins with site visits/surveys or working with the Business Development/Key Account Manager or other business stakeholders to secure work scopes with profitable margins. Specific Duties & Responsibilities: Stakeholder Management: Gain a deep understanding of the contract terms, scope, budgets, costs, schedule and complexities of the project. Engineering & Design Department: Coordinate with the Site management team to ensure the correct designs in terms of access requirements while considering the costs set out in the LPO or contract. Facilities & Logistics Department: Support the site team with the planning of logistics or overcoming bottlenecks the project teams may be experiencing. HSE (Health, Safety & Environment) Department: Plan the execution of the project while following the safety precautions to avoid accidents and injuries on site. Marketing & Business Development: Work with the marketing team to ensure that the projects you undertake are captured both visually and verbally to be shared on digital media channels and in newsletters and magazines. Human Capital: Work with the HC team to ensure that the team under your control is managed effectively in the delivery of their tasks. Project & Commercial Controls: Deliver safe contracts, on time, on budget.
