What are the most effective ways to communicate your decisions as a Servant Leader?

Take your team into confidence with full transparency. Involve the team throughout your decision making process. Listen the team voice sincerely. Your decision may not align with your team’s opinion still you need to explain the rationale behind your decision

I think in addition to considering needs of the listeners, it's critical to be crystal clear in A. Why do I want to communicate (say it 1 line if you can ie what's do you want your listeners to know /feel /do after you've spoken to them) B. What do I want to communicate - keep it to max 3 points C. How can the communication be packaged (flow, imagery, wording etc) to make it relevant for the listeners. D. And where will I pause and ask and what will I ask (cause it's 2 way communication after all)

The most effective way to communicate leadership as a servant leader is by walking the talk. This is by literally leading the team not through words but by being in the grind with your team. This resonates better as it sends a clear signal that if you as a leader can do the chores, hard work or whatever needs done, then they have no justification complaining or trying to circumvent the process. You earn your teams respect, they internalize the passion and over time replicate same as their leadership style in their teams.

As a servant Leader, one need to make decisions that serve and empower the team. We need to know our audience better to communicate transparently and compassionately, fostering respect and understanding.

The Great Man method of leadership is dead. Decisions are more and more being made collaboratively. The reasons for this is the The Great Man leader doesn't work, and everything has become too complex for one person to make decisions. Decisions should be made collaboratively, and as such, the topic would be discussed among team members as much as necessary and a collaborative decision made. This eliminates the authoritarian leadership style of handing down decisions, which has no place in servant leadership.

Decisions with significant impact require deep reflection, comprehensive discussion, and collective consensus. In my approach, I ensure to involve the entire team in the decision-making process. This includes facilitating open forums for sharing ideas, encouraging diverse perspectives, and striving for a unanimous agreement that reflects the collective wisdom of the team. This method not only enhances the quality of the decision but also fosters a sense of ownership and unity among team members.

Involvement is the keyword here. As a servant leader, no decision is "your" decision. Every decision is "Team's" decision. The moment you start taking collaborative decisions, the whole question of this topic gets diluted. Now, everybody already knows what decision is being made and why. Nobody needs to communicate anything to anyone !

In few scenarios it becomes essential to involve others in the process of decision making. Example: I need improvement on a particular feature of my product. I will invite all teammates along with key stake holders for the discussion. Having a wider and diverse people helps getting diverse ideas. People came from different background, religions and locations. Their approaches on a specific situation varies according to their thoughts. Many cases, this diverse suggestions helps getting a best scenario, which was never thought of. Including team members and stake holders in a decision also creates a collaborative environment. People tend to trust each other and they feel valued and a sense of belonging also develops.

Let the team know where the non-negotiables are but then invite them to participate in the areas that still matter but do not fundamentally change the core of the decision. Allow the team to shape and make it better so that they can own the decision you've made as their own.

In the era of different communication channels, a leader should be aware of the choice of words which needs to be used to convey the message. Content has to conveyed precisely to everyone to produce any meaningful result. Also the tone used needs to be taken care across different stakeholders.

To be a great servant leader, we must practice clarity. Personally, I also emphasize positivity--the authentic kind--earned from deep-rooted personal discoveries and acting from a wise place to contribute and make the world a better place, not from a fear-driven place. Internal energetic alignment resonates and connects with your teams no matter where the channel -- IRL, digital, or even async messaging. If we can answer WHY from it's core reason, with this energetic resonance, the message will be more likely to be well-received, fully understood, and easy to align with, generating enthusiasm and effectiveness.

Do not leave room for misunderstanding since this will cause team members to have to make a judgement call which could be counter to the intent of your message. Keeping it simple, precise, and easy to follow will ensure that your team will follow the direction. Complicated messages are difficult to process so keep it as simple as possible.

Clearly articulate the decision without using jargon or overly complex language. Ensure that everyone understands what the decision is, why it was made, and what it means for the team.

In a effective communication words values maximum of 7% and tone contributes upto 33% of thoughts. It is very important to watch your tone and words in a critical communication. Use of contradictory phrases may create confusion and panic within Team. Using precise lines with a consistent tone shows clarity in thoughts. If possible I prefer to go for a small presentation with a couple of slides. This helps people connecting with the details visually when they are listening to me. I also try to have the presentation only fact based and quantitative. These presentations becomes more impactful.

Provide Context: Help your team understand the context behind the decision. Explain the problem or opportunity that led to the decision, and outline the potential benefits for the team and the organization. Acknowledge Concerns: Be open to feedback and questions. Encourage team members to express their concerns and address them empathetically. Acknowledge their feelings and validate their perspectives.

Ofcourse communication need to be fact based, quantitative. If it is only a concept and communicated as a story, though people listen, nobody values it untill it is proven with examples. Even if it is just a concept, how and from where this concept came? What are the data underline, having these in communication sets your credibility and how truthful you are. Example: I am discussing on cloud usage and cost benefits of it. Then I will try to get costing of the Business unit before cloud usage and then will put the current costing. This comparison of data will give a clear picture and I also need to explain less as data will talk my thoughts.

In my experience providing evidence and examples really helps emphasizing important information being communicated, as well as, showing our reputation impacting ability to be believed. In general, people love to see case studies helping them to make positive "copy/paste" actions. Nevertheless, sometimes it might be perceived by the audience as the over-tutoring, and hence could make negative effect. Therefore, in some situations could help to share unsuccessful case study and audience will learn from someone's failure.

These are not always available particularly in decisions that are related to emerging concepts but providing a parallel to a concept that is familiar is a way to put your team at ease, and at the same time provide understanding.

Follow Up: After the initial communication, follow up with the team to see how the decision is being implemented. Address any challenges that arise and provide ongoing support if adjustments are needed. Celebrate Successes: If the decision leads to positive outcomes, celebrate the successes with your team. Recognize and appreciate their efforts in implementing the decision effectively.

Asking for feedback shows that you are open to learn and eager to know other's thoughts. You respect and value them. In case of asking feedback, it should be very precise in nature. Example: I can ask: what's your thought on my presentation with accounts division? This precise question helps the person to give to the point inputs. Then it becomes easy to work on the feedback. In addition to asking for feedback, it is equally important to work on them and followup on that in a specific interval. This following up helps in improvement and this also shows that you are in growth mindset and continuously improving.

Moreover, providing updates or progress reports about the decisions made helps build trust and transparency with the team. This continuous loop of feedback and follow-up is instrumental in refining decisions and strengthening relationships within the team.

Not every team wants to hear suggestions sometimes you have to lead people down the Golden path so that they feel like it’s their idea. It can be important in a servant leadership role to know when you have to ask the right questions giving other people the opportunity to come to the conclusion you’ve already reached.
