Job Description

Here is an incredible opportunity to join a highly experienced, cause-driven team at a progressive mid-major YMCA. The YMCA is looking to build on an extraordinary history of facility growth, program quality, community support and strong fiscal position to deepen and broaden our impact in a large, diverse service area of greater Waukesha County in the western suburban area of metropolitan Milwaukee.

The Association Director of Finance oversees and manages the strategic short and long-term financial affairs of the organization and evaluates opportunities to ensure steady growth and the fiscal strength of the organization. The position is responsible for outlining strategic initiatives with the CEO, COO, and other senior leadership staff in the development of financial policies and best practices to ensure appropriate implementation. As the finance department lead and supervisor of an experienced and talented full time accounting specialist, the Director is responsible for budgeting, general accounting, cash management, auditing, preparation of financial reports, board reporting, and bank relationships. A strong and supportive Association administrative leadership team is in place as the Association Director of Finance works closely with the Association Director of Human Resources, and the Association Director of Business Services.

Qualifications

  • Bachelor’s degree in Accounting with 10 years related experience. Certified Public Accountant and or advanced degree preferred.
  • Public Accounting experience preferred; comparable experience considered.
  • Knowledge and understanding of general business matters including budget development, cash management, GAAP, non-profit compliance, business taxes, banking, debt financing instruments, and payroll.
  • Strong knowledge of computer technology including computerized accounting systems; skills in Excel and database management required.
  • Ability to review and negotiate contracts and establish professional vendor relationships.
  • Understanding of debt financing, and covenant compliance.
  • Leadership experience with non-profit organizations and accounting practices required. Non-profit control of a large multi-branch organization with complex revenue sources preferred.
  • Demonstrated success in effectively developing and managing a highly performing staff team.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
  • Excellent communication, board presentation and interpersonal skills required.

Essential Functions

  • Monitors daily, weekly and monthly financial operations, prepares and provides detailed revenue, expense, sales program enrollment analysis, and gives guidance and recommendations to the CEO, COO, Board and senior staff. Works closely with operations staff on various financial matters.
  • Strategizes on quarterly and annual financial projections, establishes variance reports and forecasts.
  • Manages the accounting specialist and all facets of financial workload.
  • Works directly with assigned committee(s) of the board (Finance, Audit, other) to build volunteer relationships, develop policies, monitor their implementation and meet the related needs of the board and the organization.
  • Reviews, updates, and/or develops internal control systems for the YMCA and oversees internal audits which check for compliance on a variety of policies and standards.
  • Oversees and certifies the annual audit and meets periodically with the outside auditors to maintain communications and keep them informed of changes in the YMCA. Ensures that current accounting standards and legal requirements are met.
  • Develops performance indicators and measurement systems for tracking strategic plan objectives. Evaluates current business models and leads efforts to modify or redesign business models where necessary.
  • Responsible for the development of the annual operating budget. Works closely with operations staff to ensure that department budgets are well-planned, realistic, and prepared in a timely manner.
  • Prepares pro-forma budget projections and financial analysis as needed.
  • Manages the investment of operating cash flow, reserves and capital funds to maximize investment earnings.
  • Maintains all necessary records and accounting reports for the Endowment (a separate legal entity), Reserve Funds, and Capital Accounts and ensures all transactions are recorded on a timely basis.
  • Assists in managing investments, under the direction and within the risk tolerance expressed by the Board.
  • Establishes, maintains and/or monitors all banking and financing relationships. Reviews debt covenants and files required financial reports with the bank.
  • Responsible for timely preparation of reports to YMCA of the USA and governmental agencies. Ensures compliance with 1099 reporting requirements, Form 990 and Form 990T reporting and timely filing of forms with all appropriate entities.
  • Ensures timely reporting of payroll taxes and timely submission of all employer/employee tax filings, including year-end W-2 reporting.
  • Ensures monthly reconciliation of balance sheet accounts as well as proper classification of income & expenses.
  • Maintains all necessary records and accounting reports and records all transactions on a timely basis.
  • Develops favorable working and professional relationships with auditors, bankers, investment counselors, attorneys and other professional advisors.
  • Represents the YMCA with key community organizations and events as required.
  • From the financial perspective, participates with salary reviews, wage studies, benefits and implementation and update of salary administration plan.
  • Collaborate with Human Resources and Business Services departments to further administrative tasks related to payroll and employee processes.
