Position Summary:

The Administrative Director of Facilities Management reports to the VP of Operations and is responsible for a total of 28 FTEs across the following departments: design, construction, engineering operations, maintenance, and project management activities for both the hospital and off-site properties.


Essential Duties and Responsibilities:

  • Provide a working environment that follows applicable regulatory and safety guidelines while maintaining service excellence in overseeing facilities, design, project management and construction operations.
  • Lead capital upgrades, design, and construction resulting from existing and future master facility planning (Capital expenditures in the range of 20-40 million).
  • Administer and direct preventative and corrective maintenance programs to maintain buildings, grounds, and equipment, both fixed and portable, procures or generates all utilities, including water supply and sewage, and their distribution systems.
  • Serves as the hospital liaison for contracted property/lease management of real estate and building assets.
  • Coordinates activities with other departments to ensure a culture of excellent customer service and follow through.
  • Represent Silver Cross Hospital to external organizations and serve as the lead on relationships with external design and construction firms.
  • Complete and maintain all key performance indicators and ensure all reports are completed in a timely manner.
  • Develop and manage departmental budgets, verify, and assure appropriate use of resources both internal and external, and ensure proper documentation.
  • Drive financial improvement and build operational efficiency and consistency where applicable.
  • Ensure comprehensive and on-going communication with all hospital leaders and organizational stakeholders.
  • Maintain positive working relationships as a resource and trusted advisor with employees and leadership.
  • Improve operational efficiencies that include standardization where possible while also identifying opportunities for growth of programs and services.


Goals and Objectives:

  • Quickly establish oneself as a credible and authentic facilities leader who feels comfortable engaging with all levels of staff while keeping the best interest of patients in mind.
  • Lead Silver Cross through a continued facility refresh of upgrading inpatient rooms.
  • Identify opportunities to enhance the capital planning and facilities assessment process to identify operational efficiencies.
  • Partner with hospital leadership to bring solutions-oriented approach for enhancing facilities and increasing capabilities to meet a continued growing demand for services in alignment with the strategic plan.
  • Build synergies across teams and provide guidance in a way that supports staff and builds strong employee engagement.
  • Lead the organization through an array of already existing projects including medical office building development, interventional lab & imagining replacement and expansion, and facility enhancement.
  • Help the hospital leadership to identify new initiatives that will enhance the hospital’s market position and continued reputation for providing high quality patient care.
  • Provides strong leadership, particularly in the areas of facilities management, risk, infection prevention, performance metrics, work process efficiency, team performance and the pursuit of excellence.
  • Establishes and implements department policies, procedures, and reviews, including annual reviews and updates with departmental staff.
  • Manages staffing, performance evaluation, and training activities for staff and contract labor.
  • Prepares manuals and guidebooks covering all phases of departmental operations for use by employees. Develops standards for organization and supervision of departmental services.
  • Communicates internally with all individuals participating in projects or affected by projects, communicates externally with individuals or agencies that may have an impact on a project. Consults with department leaders in planning and executing projects and in making project assignments.
  • Consults with outside contractors, architects and other contracted services in planning and executing scheduled work and manages design and construction to build optimally maintainable spaces.
  • Reviews specification for all equipment and construction for the hospital.


Knowledge and Work Experience:

  • Knowledge of federal, state, and local building codes, regulatory compliance, and standardization and ordinances as well as The Joint Commission, IDPH, and all applicable accrediting bodies is preferred.
  • A track record of directing, leading and managing large teams that will ultimately have a significant role in shaping the face of healthcare organizations.
  • Familiarity with the Certificate of Need and IDPH approval Process.
  • Experience with leading both small- and large-scale expenditures, upgrades, and construction projects.
  • Has worked in environments where timely decision-making and operational efficiencies are paramount to the long-term success of the hospital.
  • Ability to work with vendors, consultants, design firms, and construction firms.
  • Effective communication and presentation skills; someone who is comfortable working with many stakeholders across a matrixed organization.
  • Demonstrated an ability to be comfortable giving effective presentations.
  • A proven financial and operational track record that demonstrates an understanding of key factors of managing facilities in a complex healthcare organization.
  • A credible individual of high morale character who can balance the need of improving the overall patient experience while enhancing operational efficiencies.
  • Possess strong business acumen with an understanding of broader organizational goals.
  • Politically astute with a track record of building partnerships.


Education and Training:

  • Bachelor’s degree in engineering, Facility Management, or related field.
  • Minimum of 10 years progressive experience in the Operations and Management of Engineering, Maintenance, Construction, and Mechanical Systems in Healthcare facilities.
  • Certified Healthcare Facilities Manager (CHFM) preferred.
