Summary

The Creative Project Coordinator will assist with design team project and traffic management.

Responsibilities

Works with Creative Manager on project priorities, maintaining project lists, and timing implications in project management platform.

  • Ensure incoming work requests adhere to process guidelines and include required information to be actionable
  • Coordinates work with appropriate project requesters so projects are completed in a timely and efficient manner.
  • Convert approved requests into active projects with assigned resources.
  • Partner with creative leadership and stakeholders to define project scope.
  • Collect and organize project metrics for resource planning
  • Facilitate internal and external status meetings.
  • Track projects and share up-to-date status with stakeholders
  • Work closely with designers to ensure task requirements are met on schedule
  • Work with print vendor to keep track of print inventory
  • Handle logistics with print vendor and coordinate gathering mailing lists from project requesters
  • Track approvals - ensuring all stakeholders approvals are received before going to production
  • Assist with quality control of materials before production
  • Serve as point of contact regarding scheduling new projects
  • Assist with basic graphic requests such as sizing logos and minor text edits in InDesign
  • Assist in research and implementation of a new project management system in 2022
  • Manage purchase orders and receiving of Marketing invoices through Oracle

Experience & Required Qualifications

Education: Bachelor’s degree in Marketing, Business Administration, Project Management or equivalent

  • 2+ years of experience in related disciplines including project coordination, project management, or business administration, required.
  • Expertise in Project Management Software such as Workamajig, Monday.com, and Asana
  • Excellent organizational and time management skills
  • Ability to prioritize tasks and keep track of multiple projects in a cross-functional team
  • Must be energized by internal customer interactions and focused on supporting their needs
  • Proficient in Microsoft Office Suite programs
  • A solid understanding of Design file formats, for example: image modes (RGB vs. CMYK), image resolutions, pixel ratios, file formats (JPG, PNG, TIF), etc.
  • Basic Adobe Creative Suite skills
  • Professional verbal and written communication skills
  • Excellent grammar and writing skills
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong emotional quotient and listening skills
