A few months ago, I spoke with a small flight department that heavily relies on contract pilots. They shared that their team often spends up to 10 hours per week just trying to find and assess pilots for their trips.
Curious about their process, I asked how they go about it. Here’s what they described:
1️⃣ Send texts to all the contract pilots they have contact info for.
2️⃣ If no positive response within 24 hours, post in a Facebook group.
3️⃣ Send blank Pilot History Forms (PHFs) to interested pilots and wait for them to be filled out.
4️⃣ Once received, submit PHFs to their insurance broker and wait for recommendations.
5️⃣ Once a pilot is approved, reach out to share trip details, aircraft info, and figure out payment logistics.
While 10 hours per week might be an extreme case, it’s easy to see how these steps can quickly add up and become a significant drain on your team’s time.
