You'll join a team of talented and passionate people who are motivated to make our community as strong and resilient as possible.

HOURS: Monday – Friday, 8:30 - 4:30 (37.5 hours per week).

Position Summary

The Receptionist greets visitors and directs them to staff or service areas; operates the telephone system; answers, screens and forwards telephone calls; records and relays information; maintains lobby, mail room, kitchen, and conference room areas; and performs a variety of clerical duties, such as filing, sorting and distributing mail.

PROGRAM RESPONSIBILITES

  • Serves as main receptionist, greeting visitors and referring them to the appropriate person or persons; provides standard agency information when necessary.
  • Answers phones and directs calls; provides referrals to appropriate programs, area centers or other agencies as appropriate. Provides administrative support to Executive Coordinator.
  • Performs daily pick up and drop off of incoming/outgoing mail, including opening, dating, sorting, and distributing incoming mail as well as affixing postage to outgoing mail.
  • Maintains agency records retention process.
  • Receive office deliveries from UPS, Fedex, Amazon, Staples, etc. and ensure distribution and notification to appropriate individuals either by hand delivery or email.
  • Maintains building information including use schedules, staff directories, emergency contact, etc., for the purpose of providing reference information.
  • Maintains reception area material including program brochures, flyers, etc. for the purpose of providing resource information to visitors.
  • Receives, forwards and stores incoming faxes and is responsible for all outgoing faxes, ensuring they are successfully sent in a timely manner.
  • Prioritizes all incoming and outgoing correspondence including email, letters, packages, and confidential documents, ensuring they remain secure.
  • Maintains electronic and paper records ensuring information is organized and easily accessible on all Agency programs, including proposals, grant awards, budgets, agency legal documents and Board of Director files, etc.
  • Ensures lobby, conference room, mail room, and staff kitchen are maintained in a clean and organized fashion per Office Cleaning Task List. Cleans exposed surfaces (table, countertops, microwaves, fridge handles, etc.), empties kitchen trash, and restocks supplies daily. Refills toilet paper and paper towels dispensers daily and as needed.
  • Monitors and orders office and kitchen supplies. Stocks administrative office copiers and empties shredder on a daily basis.

  • Communicate proactively with the supervisor regarding workflow, problems, suggestions, etc.
  • Contribute to a positive, team-oriented work environment; and attend team and staff meetings as scheduled.
  • Be punctual for scheduled work, use time appropriately, and complete work in a timely fashion with minimal errors.

Requirements

Experience:

  • One year of experience performing administrative clerical work in a business office environment.
  • Strong customer service skills with ability to work in team environment.
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Excellent communication skills at all levels and ability to establish and maintain harmonious working relationships with other employees and members of the public.

Education

  • High school diploma or equivalency credential.

License/Certification

  • Successful completion of criminal record check.
  • Valid driver’s license with access to reliable transportation for required travel.
