LOCATION: Remote – this is a home based, virtual position that operates on US Eastern Standard Time from 8:30am-5:00pm. Must live within 2 hours of Asheville, NC. M ust be willing to travel to the Asheville office if needed .

GENERAL STATEMENT OF JOB

The Talent Acquisition Onboarding Coordinator performs recruitment, pre-employment, and new hire onboarding activities at Vaya Health. This position serves as a liaison between conditionally hired team members, hiring managers, the HR team, and internal stakeholders like Information services. Provides support with various professional and administrative level duties including pre-employment screening & forms, tracking of applicants “in-process”, clerical responsibilities, stakeholder communications, consultation with internal departments, and scheduling of start dates/onboarding/training. This position will be trained by and take direction from the senior level Talent Acquisition Analyst.

Essential Job Functions

Candidate Experience, Communication, and Onboarding :

  • Coordinates pre-employment activities as part of the conditional offers to include pre-employment background checks, certification/licensure checks and assists the Talent Acquisition team with all other aspects of an efficient pre-boarding, onboarding, and new hire process.
  • Communicates with the hiring managers, talent team, and new hires to assist in answering questions.
  • Coordinates new hire start dates and initiates access and equipment requests for new hires.
  • Provides friendly and helpful customer service to hiring managers, candidates, and fellow team members.
  • Responsible for pre-employment onboarding to Vaya Health both through the new hire process in applicant tracking system and coordinating the completion of new hire forms.
  • Maintain a comprehensive list of new hires to include in the monthly New Employee Orientation Program. Communicates new hire orientation dates to all parties. Works closely with the HR Organizational Development team for new hire orientation scheduling and warm handoff.
  • Takes partnership with leadership to problem solve any barriers to optimal candidate experience.

Administrative Duties

  • May be asked to help new hires with I-9 completion, Conflict of Interest forms, Confidentiality, and or other pre-employment requirements.
  • Help collect forms and communicate with other HR team members for filing. May be asked to direct file or serve as back-up for filing, as volumes dictate.
  • Manage the technical through-put of screening forms (within applicant tracking system, background screening platform, etc.)
  • Assists talent acquisition team with talent tracking data (new hires, transfers, time to fill, candidate flow, etc.)
  • Understand regulatory requirements, policy requirements, and industry trends.
  • Help ensure fair and equitable recruitment practices in accordance with Vaya values, policies, and all applicable employment laws.

HR General Support

  • Train as back-up for initial candidate resume/position screening.
  • Help coordinate Talent Acquisition events, such as job fairs, mass hire events, and college recruiting events.
  • Knowledgeable of Vaya HR policies and processes to support internal departments.

Qualifications & Education Requirements

High school diploma or GED required. Associate degree in Human Resources, Business, or related fields of study preferred. Must have:

  • 2 years in Human Resources, administrative support, professional customer service, or equivalent
  • Exposure to and knowledge of human resources best practices
  • Proficiency with electronic records management or similar organizational tracking software systems

Physical Requirements

  • Close visual acuity to perform activities such as preparation and analysis of documents; viewing a computer terminal; and extensive reading.
  • Physical activity in this position includes crouching, reaching, walking, talking, hearing and repetitive motion of hands, wrists and fingers.
  • Sedentary work with lifting requirements up to 10 pounds, sitting for extended periods of time.
  • Mental concentration is required in all aspects of work.

RESIDENCY REQUIREMENT: Vaya Health welcomes applications from NC, SC, GA, TN, VA, MD, and FL. NC residency preferred .

SALARY: Depending on qualifications & experience of candidate. This position is non-exempt and is eligible for overtime compensation.
