Ineffective systems utilisation? So, you have implemented a new system, you feel everything has gone well and you are hoping it delivers all the benefits you identified. However, after a short while you start hearing the dreaded comment 💬 “it’s not as good as the old system” and the utilisation of the system is nothing like as you expected. Now, this can occur for many reasons but one is due to how people received training on how to use the new system. With many corporate systems, one of their objectives is to drive compliance, this may be reporting obligations, approval steps or more broadly to make sure a process is followed. Without an understanding of why these steps are important and how they assist in getting their work done more efficiently and effectively people tend to reflect it is just a “difficult system” to use. How do you overcome this? I have worked with organisations to design and deliver systems training which follows through typical workplace case studies and scenarios. As your business grows, having Standard Operating Procedures (SOPs) in place is not just “nice to have”, it is 100% essential. If you could create just *one* SOP to save time you and energy, I’d recommend starting with a Delegation SOP. The SOP will go something like this: 1️⃣ Identify repetitive task: keep a running list of all the tasks you do more than once, classify by frequency (daily, weekly, monthly, etc) and business pillar (admin, finance, marketing, etc) 2️⃣ Document the task: The next time you do the task, create a document and take the extra time to either record the steps with a tool like Loom or simply write out each step and take screenshots - leave NOTHING up for interpretation 3️⃣ Define the outcome: Write in plain language what success looks like for the task. Example: “Client onboarding is completed within 48 hours, with all documentation uploaded, ensuring a seamless and standardize experience for all clients.” These SOPs will save you hours of training, back-and-forth communication, and quality checking when you eventually do hire that person to help you with your business. One added bonus is it will also save YOU precious mental load while you’re getting ready for that hire. Trust me. 💭 If you could delegate one task permanently, what would it be?
