After my presentation at the KEMA Conference this past Monday, and with an event coming up at my church next week, I got to thinking… Many municipalities lack a special event permitting process that notifies emergency services of such events. As an emergency services provider / emergency management professional, is it important to you that special event organizers and/or event venues provide you a notification of a special event? Why? What information would you be looking for? Would you have any perimeters on scope of activities, attendance thresholds, footprint size, etc.? Just want to put this out there for some conversation.

One interesting item is a prohibition against clothing restrictions allowing owners to throw nude keg parties in the common areas without an ability for an association to stop them! Who can relate to the stomach drop terrors of a travel issue or force majeure cancellation for a speaker? It's kind of like those vivid dreams (nightmares, really) as a server in which your entire section gets seated at once, but much higher stakes. 😩 In my 13 years in the biz, I've had speakers with private plane mechanical issues returning to the airport and scrambling to find a new private jet (not as easy as you'd think with a buyout budget). I've had speakers forget their date of departure with a time zone change, take a new overnight flight to get to Switzerland and doing their HMU and wardrobe change on a train so they could walk into the venue moments before they're onstage. I had Donna Brazile sick with the flu the day before traveling east to west coast for a conference and magically swap in Jonathan Capehart like a champ. I've had wind gusts grounding all flights out of NYC the night before a full day itinerary on a campus and trying to rebook flights while I'm hiding in a bathroom at a bar on a Sunday evening. The stories we could tell in this business! I've always had the host and the speakers' back, no matter the time of day or what it cut into during my personal time, to troubleshoot the problem and get them to the event. 🤳 I recently had a speaker flight issue that was going to put them at minutes to arrive for their event (if at all). Read our blog to find out what happened (and if they made it)! ✍ Most importantly, knowing that an agency can make all of these things happen for an event planner so they don't have to is an important lesson. A speaker cannot swap another speaker if they're solo/unrepresented. Crowd management is a critical aspect of large events, requiring careful planning, understanding human behavior, and meeting logistical needs. Key strategies include police involvement, physical barriers, reliable communication systems, first aid and medical services, location and fire procedures, media and VIP management, amenities and accessibility, entertainment and signage, security personnel, and environmental considerations. Police presence is essential for security, traffic management, and handling disturbances. Physical barriers, such as metal fencing and ropes, are crucial for crowd control. Communication systems, such as radios and public address systems, are essential for coordinating efforts and responding to emergencies. First aid staff, ambulances, and medical facilities are also essential. Location and fire procedures are crucial, as is media and VIP management. Adequate security personnel and environmental considerations are also essential.
