Fintellect updates are here. ⠀ We know some of you had issues with Team setup in Fintellect because your teams are contractors — no salaries, just billable hours or project payments. ⠀ Well, we listened: now your Team section has two parts: one for full-timers and one for contractors. Go ahead and give it a whirl. ⠀ We’ve also started working on Plan 2.0 with a fresh new look — now it’s more compact and easier to use.     Remember when cost estimations were a pain and took forever to come up with? ⠀ Well, not anymore. Check the Estimation Tool in Fintellect, which helps you figure out project costs in 5-10 minutes, not 5-10 business days. ⠀ First, set up your team and expenses. This allows us to figure out your internal rates, including overheads, and calculate the team cost with accurate numbers. ⠀ Second, create or import a project and set up the business model: ⠀ - Choose if the project is a one-time endeavor or a retainer with multiple sprints. - Decide if you’ll price per project (fixed) or use a Time & Material approach. - Then, choose whether to set the end price and profit or sell hourly based. ⠀ It’s simple, but we do a lot under the hood to make it work seamlessly. ⠀ Third, add production costs: team hours and work, contractors, and project expenses. With the team set and internal rates calculated beforehand, we can provide you with a cent-accurate project cost, so you’ll know the production numbers. ⠀ Fourth, add taxes, fees, and commissions: Upwork fees, sales fees, PM bonuses, VAT — anything you’ll have to pay in the end. This will conclude the cost side of the project. ⠀ Lastly, set the price and profit, or let Fintellect calculate the price automatically. ⠀ And there you go. It’s 10X easier than using a spreadsheet and 20X more accurate because we base estimations on real costs. ⠀ Sounds like something you’d love to try? You know what to do.

    You might ask yourself, why calculate the cost of work? In theory, you should focus on earning more, not calculating the cost of every action. ⠀ But that's only in theory. ⠀ If you manage a small 7 people agency, simple knowledge that "doing one more logo version will cost me $560 in designer labor" will save you from unprofitable projects. When you know the cost — you don’t sell projects at minimal margin. You know your actual profitability, and can calculate company’s efficiency. ⠀ So let’s figure it out without spreadsheet hassle.     Monday is here, so let's get back to work. We switched to monthly product updates, so here's what's new for the last month: 🔸 ClickUp Integration: You can now connect Clickup to Fintellect, import teams and projects, and auto-load time logs for each executor. This way, you'll see the real project production cost. 🔸 Ukrainian Localisation: Go to company settings and change the language to Ukrainian if it's more comfortable for you. 🔸 Sprint Cloning: If you work with a typical scope of work within sprints, simply copy them into a new one: the copy button is located to the right of the sprint name in the project. 🔸 End Cost Report: Press "Complete" when all work is done and invoices are issued - Fintellect will open a report comparing planned and actual costs and project profitability. 🔸 Adding in Pop-up: Expenses, incomes, and transfers are now created in a pop-up (because it's easier). 🔸 Service tags: You can add service tags in the sprint settings. This will become a foundation of detailed service analytics. 🔸 Wallet update log: In Wallets, you can see when the bank account was last updated. Some banks do this with a delay of several hours, so it's we help to check the lag. In May, we plan a major Team update with part-time employees and time utilisation, so you can compare plan and actual hours and internal rates. So stay tuned!

    Agencies lose money. When a team is small and growing, it encounters a number of cases where they leave piles of money on the table. Some navigate it successfully, others - hardly. But the more these issues pile up, the bigger the threat to the team's existence. We've identified 9 main "markers" that indicate it's time to address these issues: 1.❗️You don't think about how to earn more but how to cover monthly expenses. Month after month. 2.❗️You don't know the profit you're making from each project. Overall, the company is profitable, but some projects consume a lot of time and effort from the team and don't make money. 3.❗️Your spreadsheets take a lot of time and don't add clarity on how to earn more. 4.❗️You create rough project estimates without knowing the actual cost and precise margin. 5.❗️You can't justify to a client "why it costs so much" because you don't know yourself. 6.❗️You don't know how the actual project profit differs from the planned one. 7.❗️Clients owe you money, but you don't know how to collect it. 8.❗️It's unclear which team members are financially effective and profitable and who is dragging the agency down. 9.❗️You're always waiting for something: for clients to settle debts, pay invoices, give feedback, accept work. You feel you're losing money on the wait, but don't know how much. This is usually a moment to hit you with a sales pitch, on how Fintellect will solve all of your problems, but there won't be one.     Entering the new year without major updates is like having 3 pounds of tangerines but not eating them all at once. We are not those kind of people, so here are the updates and let's finish off the tangerines. Update 1️⃣ - Access rights Now, you can set access levels to each section of Fintellect: admin, view only, edit only own items, etc. There are no limits to the number of team members you can add to Fintellect - it doesn't affect the subscription cost. So connect project managers, accountants, salespeople, and partners, grant them the necessary access, and delegate work. Update 2️⃣ - Clockify Integration You can connect team members with Clockify, and automatically pull worked timelogs into projects to see the actual cost of project production. Update 3️⃣ - Split operations A small, but very valuable option that allows you to split an actual operation into several operations in different categories. For example, you paid a contractor 100k for work, of which 60k is for the advertising budget and 40k for the fee. Select the operation, divide it into several, choose categories, and the parts of the operation will correctly synchronize with the cash flow report. Works like magic. On top of that, we fixed some issues, added new UI elements that show items created by you or other teammates, and some filters that show you expenses and incomes by the payment status.
