Our client, a leading technology-focused private equity firm headquartered in NYC, is seeking an enthusiastic and highly organized Executive Assistant to join their team. This role aims to assist with various administrative tasks while directly supporting the Founder's day-to-day operations.
This is a fantastic opportunity to grow within the firm and fast-track to management positions. Joining at the ground level of a rapidly expanding private equity strategy, we envision the individual evolving into a leader for teams and mission-critical projects in the years to come.
Responsibilities:
- Serve as the right hand to the Founder, managing calendars, scheduling appointments, and ensuring smooth communication.
- Draft and proofread professional correspondence, presentations, and emails.
- Anticipate executives' needs and proactively address them.
- Manage domestic and international travel arrangements, including flights, hotels, and transportation.
- Prepare and process expense reports.
- Assist the team with various administrative tasks such as managing databases, preparing reports, and coordinating offsite meetings/team-building events.
- Support HR with recruiting, onboarding new hires, and administrative tasks.
- Help maintain accurate fund administration records.
- Liaise with fund administrators for portfolio reporting and compliance matters.
- Assist with investor relations by preparing and distributing communications, and coordinating AGMs.
- Oversee company swag and apparel (ordering, inventory, distribution).
- Contribute to ad-hoc operational projects as the firm grows, including hosting industry meetups and supporting marketing initiatives.
Qualifications:
- A minimum of three (3) years of experience in an executive assistant role, with experience supporting c-suite level executives in investment management/high finance.
- Must have familiarity with the private equity/B2B software industry.
- Excellent project management, organizational, process management, and communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to perform and prioritize multiple tasks simultaneously with extreme attention to detail.
- Willingness to work outside of normal 9 - 5 hours.
- Proven experience in calendar and travel management.
- Ability to work independently and take initiative.
- Professional demeanor and discretion in handling confidential information.
- Public Notary Certified (or willing to obtain via company sponsorship).
Location: Manhattan, NYC (fully in-office)
Schedule: Monday - Friday, 9am-5pm with required flexibility
Compensation: Up to $100,000 DOE, competitive benefits package, discretionary bonus, plus company perks
