One of the topics that came up in our recent webinar on timetable policy, procedure and process was how to set KPIs. It’s important to include KPIs in your timetable policy document, because they set out the direction you’re heading in and give you something to benchmark future success against. Your KPIs are essentially the goals you’re seeking to achieve. But sometimes, by focussing on these goals, you aim a little too broadly. For example, you may say “our goal is to improve the overall student experience”. True, but if you set this as a KPI, you may run into trouble when you realise you’ve set a goal too broad to measure. We think a good way to approach timetabling KPIs is to flip the goals on their head and instead think about the challenges you want to solve. Do you want – for example – to reduce the number of last-minute changes to timetables? Have everyone stick more rigorously to deadlines? Eliminate clashes for joint honours students? The more specific you can be, the easier it is to come back and measure how successful you’ve been in meeting your KPIs later. The easier it is too, to create the specific processes and procedures that will help you to meet them. How do you set your timetabling KPIs? As part of my final year at Macquarie University, my group and I were tasked as the consultant for the science faculty with their project. Our team worked collaboratively to answer the science faculty's questions in relation to the business aspect of their project: marketing, finance, HR and economics. Our team curated our proposed solution in an infographic format. Speaking on my part, I am a final year student specialising in Marketing Management. Using my knowledge and research, I presented ways in which the science faculty can identify and engage with relevant experts who may be interested in contributing to their project in addressing SDG 14: Life Under Water. I provided 8 different methods in which the science faculty can attempt via different channels, to reach as many experts as possible, be it via attending F2F/online seminars, cold/warm outreach, partnerships with relevant organisations or to share their progress, achievements and contributions on social media platforms to gain attention and support, allowing them to gain greater exposure to then connect with relevant experts.
