It's conference follow-up season. Before you send that email... take a second to remember the reason they were there in the first place. Why did their company send them to the most expensive city in the country to watch an Elton John concert? There's a gap that was worth investing in. Fascinating to SEE what we're all FEELING in an infographic/actual data... People are just showing up on-site without having registered beforehand. ((It still blows my mind people would make travel arrangements and not tell the organizers they're coming lol)) My registration brain thinks this can be so helpful and fun to think of how we combat this late registration trend earlier in the process. 🤔 Always fighting the good fight with regard to taking the registration process more seriously and NOT RUSHING IT out the door "just to get it open." We truly have an opportunity to be more STRATEGIC and think through this to make our planners' lives easier. Of course, not knowing how many people are actually going to show up makes the planning harder since guarantees and cut-offs are often WEEKS out from an event. So... do we... 💥 Charge higher registration prices as the event gets closer? 💥 Charge a "late fee" (or "PITA tax" as many of my friends call it lol)? 💥 Hound them with more registration reminders? 💥 Get on the phone *gasp* and register FOR them (we used to do this at my first job)?? 💥 Tell them they won't get fed if they don't register early enough? 😆 >> How can we be more STRATEGIC and better manage the front load so that the back load is "lighter" for our planners? << For easy math/numbers' sake... .... Taking the 11.8% noted below (5 days pre through 2 days on-site): * For an 800 person event, this = 95 registrants * For a 5,000 person event, this = 590 registrants * For a 12,000 person event, this = 1,416 registrants How do you guarantee F&B and seating? And, as far as reg goes, are you prepared to handle this number of on-site registrations, possibly with the need to take payments??? How do you staff? Are you sourcing proper equipment? Have you ordered enough extra badges? OYE! Considering this is literally what I [love to] do, seeing this pop up first thing today has me all sorts of amped up! THANKS SO MUCH Brittney and Vivastream for digging more into this!
Recently Nicola Kastner and Vivastream posted findings from a study we did of 100 events highlighting registration trends. One of the commenters posed a question about the recent increase in last-minute registrations, so I dug into the data further to see if this was in fact a new trend. Sure enough, we saw that onsite registrations, defined as opening day registrations plus in-person registrations on the 2nd and 3rd day of multi-day events, represented 4% of all registrations in the post-pandemic time frame, up from 2% pre-pandemic. Further, when you add in the immediate 2 days leading up to an event, the increase is even more evident. What’s another post-pandemic observation you all are seeing? A quality speaker can make or break your event. If your speaker can’t deliver a solid presentation and keep the attendees engaged, your event (and future events) will suffer. That said, you don’t need to spend thousands of dollars on a high profile speaker. There are plenty of people in every industry willing to present on a variety of relevant topics, especially in the medical industry. The real challenge is to find great speakers – quality presenters who also know how to impress and engage a crowd.
